Job summary

Houston Community College in Houston, TX, is seeking a part-time Program Assistant for Adult Education in a grant-funded pool. You will support the program office, assist prospective and current students, and help coordinate registrations and events.

The ideal candidate has a high school diploma, 2+ years of secretarial experience (higher education preferred), and strong English/Spanish communication skills.

Qualifications

• High school diploma or equivalent required.
• Two or more years of progressive secretarial experience; higher ed preferred.
• Bilingual English/Spanish preferred; English/Spanish communication.
• Proficiency in Microsoft Office applications.
• Good oral and written communications; ability to meet deadlines; work independently.

Responsibilities

• Serve as point of contact for the program area.
• Provide information and assistance to students, staff, campus managers, site staff and the public via telephone, email, and in person.
• Maintain department documents and files; confidentiality of student and staff information records.
• Process and maintain program records including data entry of student information, attendance, and scores.
• Pre-register participants and assist with registration at events and trainings.
• Assist with student recruitment at community outreach events.
• Prepare and disseminate student publications for registration/orientation.
• Assist with registration/orientation and professional development events including room reservations and materials.
• Compile data from various sources and design/produce reports as needed.
• Support instructors with copying, attendance tracking, sign-in logs, and assessments.
• Maintain department records and inventory of supplies.
• Assist with end of semester class close-out.
