Job summary

Houston Community College is seeking a Program Assistant (Grant‑Funded) to support a designated program. You will serve as the main contact, assist students and staff, manage records, and help with registration, orientation, and events.

The role requires strong data-entry skills, confidentiality, and the ability to work with diverse populations. Candidates should have a high school diploma and secretarial experience; bilingual abilities are a plus.

Qualifications

  • High School Diploma or equivalent required.
  • 2 years progressive secretarial experience required.
  • Higher education experience preferred.
  • Bilingual (English/Spanish) preferred.

Responsibilities

  • Serve as point of contact for the assigned program/area.
  • Provide program information and assistance to students, staff, and the public via phone, email and in person.
  • Maintain confidential student and staff information records.
  • Enter and maintain program data accurately for attendance and scores.
  • Pre-register participants and assist with large professional development events.
  • Assist with student recruitment at community outreach events.
  • Prepare and disseminate student registration/orientation publications.
  • Support registration/orientation and professional development sessions, including room reservations and materials.
  • Compile data from multiple sources and design reports as needed.
  • Assist instructors with copying, attendance follow-up, and logs.
  • Maintain department records and inventory of supplies.
  • Assist with end of semester class close-out.

Education

High School Diploma or equivalent
2 years progressive secretarial experience
Higher education experience preferred
Bilingual (English/Spanish) preferred

Program Assistant (Grant‑Funded) Staff Pool

JOB SUMMARY This position is responsible for facilitating the processes and operations of the assigned program or area.

ESSENTIAL FUNCTIONS
  • Serve as point of contact for the assigned program/area.
  • Provide program information and assistance to potential and current students, college staff, campus managers, site staff and the general public via telephone, emails and in person.
  • Maintain internal department documents and files; maintain confidentiality of verbal and written student and staff information records.
  • Process and maintain program records including timely and accurate data entry of personal student information, attendance, assessment scores and other required information.
  • Pre‑register program and/or in‑service participants, as well as assist with registration at in‑services and large professional development events.
  • Assist with student recruitment through attendance at community outreach events.
  • Prepare and disseminate student registration/orientation publications as appropriate.
  • Assist with student registration/orientation and/or professional development sessions, including securing room reservations, materials preparation, online registration and other related activities.
  • Compile data from a variety of sources and design, and produce reports as needed.
  • Assist instructors with support duties including making copies, student attendance follow‑up, preparing student sign‑in/out logs and administering student’s assessment.
  • Maintain various department records, inventory of supplies.
  • Assist with end of semester class close‑out.
  • Perform other duties, tasks and assignments as required.
QUALIFICATIONS

Education & Experience

  • High School Diploma or equivalent required
  • 2 years progressive secretarial experience required
  • Higher education experience preferred
  • Bilingual (English/Spanish) preferred

Licensing & Certification

  • Valid Texas Driver License

WORKING CONDITIONS

General Office. Must be able to perform all job requirements with or without reasonable accommodations; remain in a stationary position during shift; move items weighing up to 25 pounds; position self to operate job equipment; apply established protocols in a timely manner. Must access, input and retrieve information from technology devices; communicate with others to accomplish job requirements. May be required to work after hours to include weekends and holidays.
