The Rosen Parramore Preschool Administrative Coordinator serves as the primary front office representative and administrative support professional for the preschool. This role is responsible for maintaining accurate student records, supporting enrollment and registration processes, ensuring compliance with auditing requirements, managing parent communication platforms, and overseeing daily front desk operations. Responsibilities:
Student Records & Compliance
- Maintain accurate student records, enrollment documentation, registrations, and cumulative student files.
- Manage and update student information within Tangelo and other designated student information systems.
- Conduct quarterly audits of Tangelo, PS8, Department of Children and Families (DCF) records, and school files to ensure compliance and accuracy.
- Monitor and maintain attendance records, absence logs, and sign-in/sign-out documentation.
- Ensure student files meet all state, licensing, and organizational requirements.
Responsibilities:
Student Records & Compliance
- Maintain accurate student records, enrollment documentation, registrations, and cumulative student files.
- Manage and update student information within Tangelo and other designated student information systems.

- Monitor and maintain attendance records, absence logs, and sign-in/sign-out documentation.
- Ensure student files meet all state, licensing, and organizational requirements.
Front Desk & Administrative Operations
- Oversee daily front desk operations and serve as the first point of contact for families, visitors, and staff.
- Provide professional, courteous, and efficient customer service to parents, prospective families, and community members.
- Support school leadership with administrative tasks and operational needs.
- Monitor lobby procedures, visitor protocols, and facility standards to maintain a safe and welcoming environment.
- Manage office supply inventory and coordinate supply and Ricoh equipment orders as needed.
Enrollment & Family Support
- Coordinate orientation scheduling for new families and assist with onboarding processes.
- Follow up with prospective families regarding enrollment opportunities and school programs.
- Serve as a liaison between families and school administration, ensuring excellent communication and support.
- Respond to inquiries and provide information regarding school policies, procedures, and programs.
Procare System Administration
- Manage and maintain the Procare Engagement App.
- Send notifications, upload documents, and support parent account setup and classroom linkage.
- Ensure accuracy and completeness of data entered into the Procare system.
- Conduct audits of Procare account data and records.
- Facilitate effective communication between families and the preschool through the Procare platform.
Safety & Security
- Manage Raptor visitor management systems and visitor check-in procedures.
- Ensure compliance with all school safety, security, and visitor management protocols.
- Support emergency preparedness procedures and maintain related documentation.
- Comply with the company's drug-free and tobacco/nicotine-free policy.
- All other duties as assigned.
Experience/Qualifications:
- Minimum of 2 years of administrative, office management, customer service, or front desk experience required.
- Experience in childcare, preschool, early childhood education, or educational settings preferred.
- Experience maintaining confidential records and managing student information systems preferred.
- Prior experience working with Procare or similar educational software platforms is highly desirable.
- Strong organizational, time-management, and multitasking skills.
- Excellent verbal and written communication skills.
- Strong attention to detail and record keeping accuracy.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
- Ability to work independently and collaboratively in a team environment.
- Strong customer service skills with a positive, professional, and welcoming demeanor.
- Ability to prioritize tasks and manage multiple responsibilities effectively.
- Problem-solving skills and the ability to exercise sound judgment. Ability to sit, stand, and walk for extended periods.
- Ability to operate standard office equipment, including computers, printers, copiers, and telephones.
- Ability to lift to 25 lbs. consistently and 50 lbs. infrequently
- Must be able to legally work in the USA.
Education and Certification(s)/License(s):
- High School Diploma or GED required.
- Associate's degree in Business Administration, Early Childhood Education, Education, Office Administration, or a related field preferred.
- CPR and First Aid Certification preferred or ability to obtain upon hire.
- Childcare licensing and compliance training preferred.
- Background screening and fingerprint clearance as required by state and local regulations.
- Successful completion of all required DCF training and certifications, if applicable.
- Valid driver's license preferred.
