Job summary

Orthodontic Experts Ltd. in Chicago seeks a Treatment Coordinator to support patients through their orthodontic journey. You will communicate treatment plans, answer questions, and help families understand options and financing.

The role involves coordinating scheduling and payments, conducting financial consultations, educating patients on benefits, and assisting the orthodontist during procedures. This is a full-time position with travel to sister clinics possible.

Qualifications

• High school diploma or GED required.
• 3 years of customer service experience.
• 2 years of sales experience.
• 1 year of Treatment Coordinating experience.
• Knowledge of medical terms and practices.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
• Excellent problem solving and de-escalation skills.
• Excellent written and verbal communication skills.
• 6 months to 1 year of orthodontic assisting experience preferred.

Responsibilities

• Consult with patients to understand their oral health history, concerns and objectives.
• Explain the treatment plan, address patient concerns, and answer questions.
• Assist patient in prioritizing treatment and scheduling/payments.
• Conduct financial consultations with new and existing patients when new plans are presented.
• Manage and maintain payment options and policies for patients.
• Educate patients on dental benefits and Ortho financing options.
• Communicate with outside and third-party financing companies offered to patients.
• Track patient accounts receivable and outstanding balances to ensure timely payment.
• Assist in practice's collections protocol for outstanding balances.
• Introduce new patients to the practice and explain health history and doctor’s examination.
• Conduct treatment consultations with all new and existing patients when new plans are presented.
• Update TC Spreadsheet daily.
• Dial outbound calls to patients (Welcome calls, Lost Cases, Denials).
• Greet and check patients in and out before/after treatment.
• Assist the orthodontist during procedures (adjusting braces, placing appliances).
• Prepare and sterilize instruments per infection control guidelines.
• Provide patient education on oral hygiene and post-treatment care.
• Participate in marketing events.
• Handle cash transactions.
• Answer incoming calls (new patients, emergencies, scheduling, records requests).
• When traveling to another clinic, perform all duties including administrative tasks.
• Maintain a clean/sanitized clinic/office area.
• Other tasks as assigned.
