Job summary

Orthodontic Experts in Chicago, IL is seeking a Treatment Coordinator to support patients through their orthodontic journey. You will communicate treatment plans, scheduling, and payments, ensuring clarity and empathy.

Responsibilities include financial consultations, coordinating with insurance and financing, greeting patients, and supporting the orthodontist during procedures. Travel to sister clinics may be required.

Qualifications

  • High school degree or GED equivalent.
  • 3 years of customer service experience.
  • 2 years of sales experience.
  • 1 year of Treatment Coordinating experience.
  • Knowledge of medical terms and practices.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
  • Excellent problem solving and de-escalation skills.
  • Excellent written and verbal communication skills.
  • 6 months to 1 year of orthodontic assisting experience preferred.

  • Assist the patient in prioritizing the treatment and establish a plan for scheduling and payment arrangements.
  • Conduct financial consultations with all new patients and with existing patients when new treatment plans are presented.
  • Manage and maintain the payment options and policies for patients.
  • Understand the practice’s policy on working with Ortho benefit plans and educate patients on their dental benefits.
  • Communicate with outside and third-party financing companies and educate patients on financing options.
  • Track patient accounts receivable and outstanding balances to ensure timely payment.
  • Assist in Practice’s collections protocol for all outstanding balances.
  • Introduce new patients to the practice by going over health history and explaining examinations.
  • Conduct treatment consultations with all new patients and existing patients when new treatment plans are presented.
  • Update TC Spreadsheet daily.
  • Dial outbound calls to patients (Welcome calls, Lost Cases, Denials, etc.).
  • Greet and check patients in and out before and after treatment.
  • Assist the orthodontist during procedures and prepare sterilized instruments.
  • Provide patient education on oral hygiene and post-treatment instructions.
  • Participate in Marketing events and handle cash.
  • Answer incoming calls (new patients, emergencies, scheduling, records requests, follow up).
  • Travel to other clinics and perform all duties including administrative tasks.
  • Help maintain a clean and sanitized clinic/office area.
  • Other tasks as assigned.

Job Description

As a Treatment Coordinator, you will be providing support to our patients in their orthodontic journey. You will be responsible for communicating with patients and their family members to ensure that they understand their treatment plans and any changes that may occur.

Tasks Include But Are Not Limited To
  • Consult with patients to understand their oral health history, concerns, and objectives.
  • Explain the treatment plan, address patient concerns, and answer any questions.

  • Introduce new patients to the practice by going over health history, explaining the doctor’s examination and describing any other features about the practice that should be highlighted.
  • Conduct treatment consultations with all new patients and with existing patients when new treatment plans are presented.
  • Updating TC Spreadsheet on a daily basis
  • Conducting Dialing outbound calls to patients. (Welcome calls, Lost Cases, Denials etc.)
  • Greet and check patients in and out before and after treatment.
  • Assist the orthodontist during procedures, such as adjusting braces and placing orthodontic appliances.
  • Prepare and sterilize instruments and equipment in accordance with infection control.
  • Provide patient education on oral hygiene, orthodontic appliance care, and post-treatment instructions to ensure successful treatment outcomes.
  • Participate in Marketing events
  • Cash Handling
  • Answer incoming calls to include new patient calls, emergencies, scheduling patient appointments, requesting records, and follow up.
  • In the event you are traveling to another clinic, you are required to perform all duties and responsibilities of your role including administrative tasks.
  • Responsible in helping to maintain a clean/sanitized clinic/office area.
  • Other tasks as assigned.
