Job summary

Orthodontic Experts is seeking a Treatment Coordinator to support patients through their orthodontic journey. You will explain treatment plans, collect payments, schedule appointments, and coordinate financing with outside providers.

This role requires strong customer service, sales experience, and familiarity with medical terms. Travel to sister clinics is required; a high school diploma and experience in orthodontics preferred.

Qualifications

• High school degree or GED equivalent.
• 3 years of customer service experience.
• 2 years of sales experience.
• 1 year of Treatment Coordinating experience.
• Knowledge of medical terms and practices.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
• Excellent problem solving and de-escalation skills.
• Excellent written and verbal communication skills.
• 6 months to 1 year of orthodontic assisting experience preferred.

Responsibilities

• Consult with patients to understand their oral health history, concerns, and objectives.
• Explain the treatment plan, address patient concerns, and answer any questions.
• Assist the patient in prioritizing the treatment and establish a plan for scheduling and payment arrangements.
• Conduct financial consultations with all new patients and with existing patients when new treatment plans are presented.
• Manage and maintain the payment options and policies for patients.
• Understand the practice's policy on working with Ortho benefit plans and be prepared to educate patients on their dental benefits.
• Communicate with outside and third-party financing companies offered to patients and educate patients on the available outside financing options.
• Track patient accounts receivable and outstanding balances to ensure timely payment.
• Assist in Practice's collections protocol for all outstanding balances.
• Introduce new patients to the practice by going over health history, examining doctor, and highlighting features of the practice.
• Conduct treatment consultations with all new patients and with existing patients when new treatment plans are presented.
• Updating TC Spreadsheet on a daily basis.
• Conducting Dialing outbound calls to patients (Welcome calls, Lost Cases, Denials).
• Greet and check patients in and out before and after treatment.
• Assist the orthodontist during procedures, such as adjusting braces and placing orthodontic appliances.
• Prepare and sterilize instruments and equipment in accordance with infection control.
• Provide patient education on oral hygiene, orthodontic appliance care, and post-treatment instructions.
• Participate in Marketing events.
• Cash Handling.
• Answer incoming calls (new patient calls, emergencies, scheduling, records requests, follow ups).
• Travel to other clinics to perform all duties and administrative tasks as required.
• Maintain a clean/sanitized clinic/office area.
• Other tasks as assigned.
