Job summary

Orthodontic Experts in Wisconsin is seeking a Treatment Coordinator to guide patients through their orthodontic journey, explain plans, and coordinate scheduling and payments.

You will handle financial consultations, educate patients on benefits, manage accounts, and support a busy, patient-first team across multiple clinics. This role requires strong communication, problem solving, and experience in customer service and sales.

Qualifications

• High school diploma or GED equivalent.
• 3 years of customer service experience.
• 2 years of sales experience.
• 1 year of Treatment Coordinating experience.
• Knowledge of medical terms and practices.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, and Access).
• Excellent problem solving and de-escalation skills.
• Excellent written and verbal communication skills.

Responsibilities

• Consult with patients to understand their oral health history, concerns, and objectives.
• Explain the treatment plan, address patient concerns, and answer any questions.
• Assist the patient in prioritizing the treatment and establish a plan for scheduling and payment arrangements.
• Conduct financial consultations with all new patients and with existing patients when new treatment plans are presented.
• Manage and maintain the payment options and policies for patients.
• Understand the practice’s policy on working with Ortho benefit plans and be prepared to educate patients on their dental benefits.
• Communicate with outside and third-party financing companies and educate patients on options.
• Track patient accounts receivable and outstanding balances to ensure timely payment.
• Assist in Practice’s collections protocol for all outstanding balances.
• Introduce new patients to the practice by going over health history and explaining examinations.
• Conduct treatment consultations with all new patients and with existing patients when new treatment plans are presented.
• Updating TC Spreadsheet on a daily basis.
• Dialing outbound calls to patients (Welcome, Lost Cases, Denials).
• Greet and check patients in and out before and after treatment.
• Participate in Marketing events and travel to sister clinics as needed.
• Answer incoming calls including new patient calls, emergencies, scheduling, records requests, and follow up.
• Travel to other clinics and perform all duties including administrative tasks.
• Maintain a clean/sanitized clinic/office area.
• Cash handling.
