Job summary

Walman Optical in Toledo, OH is seeking a Customer Service Representative (Order Clerk) to build and maintain customer and vendor relationships, manage quotations, stock orders, returns and purchase orders, and coordinate with other departments to deliver excellent service.

You will assist in repackaging frames and lenses, handle order status updates on a PC, work with vendors, resolve issues, and support training for teammates while maintaining HIPAA confidentiality.

Qualifications

• High school diploma, GED or equivalent experience.
• 1+ year experience in customer service, hospitality or call center environment.
• Excellent telephone etiquette and ability to maintain composure with difficult customers.
• Strong verbal and written communication skills.
• Good organizational skills, attention to detail and numerical accuracy.
• Basic PC skills including MS Office; Word and Excel.
• Ability to lift/move up to 40 pounds.

Responsibilities

• Receive requests for price quotations, orders, order changes, adjustments, and cancellations from customers and labs.
• Build rapport with customers and provide the best possible service.
• Receive, sort, repack and return overstock and defective lenses, frames, and accessories to vendors; document properly.
• Assist in assembling, packaging and labeling frames for monthly auto-kit mailings.
• Use a PC to retrieve customer information, stock status, and order details; update records.
• Coordinate with vendors on orders, status, quotations and delivery information.
• Troubleshoot problems or questions from coworkers and customers.
• Follow company policies, HIPAA confidentiality, and safety rules.
• Cross-train and assist others to maintain workload and deadlines.
• Maintain a neat, organized workspace.
