Job summary

American Window Film is seeking an Operations Assistant to keep the office moving by delivering outstanding customer service, qualifying leads, and scheduling estimates while maintaining office, inventory, and vehicles.

You will collaborate with estimators, coordinate with installers, manage warehouse and fleet tasks, and help ensure on-time project delivery in a supportive team environment.

Qualifications

• Responsive and friendly customer service.
• Effective organization of multiple concurrent jobs.
• Strong written and verbal communication skills.
• Familiarity with online tools like G Suite.
• Knowledge of window film a plus with training provided.
• CRM & Sales experience is a plus.
• Must be able to lift up to 40 pounds.

Responsibilities

• Respond to customer calls and emails with urgency in a friendly, professional manner.
• Qualify customers based on geography and rough scope of work; create new job records and leads.
• Help update job information throughout project lifecycle.
• Schedule estimators to attend customer locations balancing route optimization, estimator experience, and availability.
• Stage jobs and assist installers with daily schedules.
• Maintain and order supplies to ensure installation team and office are stocked.
• Submit warranty registrations with suppliers as invoices are paid.
• Keep warehouse organized and safe; track inbound/outbound shipments; manage film inventory.
• Conduct inventory audits and maintain vehicle records and maintenance.
• Be flexible to help other team members during high workload and step into Ops Manager duties as required.
