Job summary

The Golden LEAF Foundation is hiring a part-time Operations Coordinator to support day-to-day administrative and operational functions of the Foundation.

The ideal candidate is highly organized, dependable, and comfortable balancing multiple priorities while providing excellent service to colleagues, Board members, vendors, and visitors. Schedule is approximately 20–25 hours per week with in-office hours 8:30 a.m.–12:30 p.m.

Qualifications

  • Two years of relevant professional experience supporting administrative functions.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office and OneDrive.

Responsibilities

  • Answer and route phone calls; greet visitors.
  • Coordinate meetings, travel arrangements, registrations, and staff/Board schedules.
  • Prepare Board minutes and correspondence for Board of Directors.
  • Maintain physical and electronic filing systems and records.
  • Process mail, shipping, and packaging for programs and events.
  • Coordinate catering, logistics, and facilities for meetings and events.
  • Monitor office supply inventory and reorder as needed.
  • Support management of scholar materials and event supplies.
  • Maintain organisation and functionality of shared spaces.
  • Schedule inspections and preventive maintenance for facilities.
  • Assist Director of Operations with special projects.

Job description

The Golden LEAF Foundation is hiring a part-time Operations Coordinator to support the day-to-day administrative and operational functions of the Foundation.

We’re looking for a proactive, detail-oriented professional who enjoys creating order, solving problems, and helping an organization run smoothly.

Primary Functions
  • Answer and direct phone calls and greet visitors.
  • Coordinate meetings, make travel arrangements, handle registrations, and schedule meetings for staff and Board members as directed.
  • Assist with preparation of Board minutes and prepare correspondence to Board of Directors members as directed.
  • Maintain physical and electronic filing systems and organizational records.
  • Process incoming and outgoing mail, shipping, and packaging for Foundation programs and events.
  • Coordinate catering, meeting logistics, and facility preparation for staff meetings, Board meetings, and Foundation events.
  • Monitor office supply inventory and purchase routine supplies as needed.
  • Support management and organization of Golden LEAF scholar materials and event supplies.
  • Maintain the appearance, organization, and functionality of shared office spaces.
  • Schedule inspections, preventative maintenance, and repairs to ensure facilities remain safe and operational.
  • Assist the Director of Operations with special projects and other operational initiatives as assigned.

The ideal candidate is highly organized, dependable, resourceful, and comfortable balancing multiple priorities while providing excellent service to colleagues, Board members, vendors, and visitors.

Minimum Qualifications
  • At least two years of relevant professional experience supporting administrative functions. Internship or fellowship experience may be counted toward this requirement.
  • Demonstrated ability to manage multiple priorities.
  • Strong written and verbal communication skills.
  • Demonstrated proficiency in use of common software programs, including Microsoft Outlook, Word, PowerPoint, and Excel. Golden LEAF uses OneDrive.
Preferred Qualifications
  • Experience coordinating facilities, office operations, or vendor management.
  • Experience planning meetings or events.
  • Knowledge of basic building maintenance coordination and facility operations.
  • Experience using task management tools (Golden LEAF uses Airtable and Asana).

Schedule: Part-time, approximately 20–25 hours per week, with an expected in-office schedule of approximately 8:30 a.m.–12:30 p.m., five days per week

Anticipated hiring range: $20–$24/hour
