In this hybrid role, you will coordinate auction activity across multiple entities, work with DMV and Revenue departments, and guide licensing updates as the company expands into industrial equipment and trucks. A detail-oriented professional with 4+ years in compliance is ideal.

Qualifications

• Minimum 4 years in compliance, titling, licensing, or senior-office operations.
• Familiarity with wholesale auction platforms and motor vehicle regulations is a plus.
• Detail-oriented with ability to multi-task in a fast-paced environment.
• Proficient with Microsoft Office.
• Strong customer service and communication skills.
• Bachelor’s degree in Business Administration, Legal Studies, Finance, or related field (or equivalent experience).
• Ability to work a hybrid schedule (3-4 days in Carmel, IN).

Responsibilities

• Maintain knowledge of state-level auction regulations across the national footprint.
• Coordinate auction entities, track activities across legal entities, and ensure customer needs while maintaining compliance.

As America Auto Auction Group's strategic expansion brings our premier auction services into the heavy commercial asset space, we are seeking a highly organized, meticulous, and proactive Auction Licensing & Compliance Coordinator. Moving from wholesale passenger vehicles into large industrial equipment, commercial trucks, and agricultural machinery introduces unique regulatory frameworks, complex titling matrices, and specialized licensing requirements.

The Auction Licensing & Compliance Coordinator will manage the internal process for offsite equipment auctions, including reviewing state licensing requirements, verifying applicable licenses, coordinating auction approvals, tracking auction activity, and communicating license assignments to accounting.

Responsibilities for Auction Licensing & Compliance Coordinator

• Maintain an updated knowledge base of varying state-level auction regulations across our expanding national footprint.
• Collaborate with the sales team to determine the appropriate auction entity for each event, coordinate and track auction activities across legal entities, and ensure customer needs are met while maintaining compliance at the auction level.
• Work with regulatory and internal counsel to maintain, renew and update licenses where necessary.
• Review auction inventory to ensure proper licensing for auction events.
• Act as the primary link between the equipment division and state DMVs, Departments of Revenue, and law enforcement agencies concerning operational permits.
• Work with upcoming acquisitions and recently closed acquisitions to properly integrate the acquired locations into the company regulatory framework.

Requirements

Requirements for Auction Licensing & Compliance Coordinator

• A minimum of 4 years of compliance, titling, licensing, or senior office operations experience within an equipment, auction, remarketing, industrial, manufacturing, or related industry is preferred.
• A working familiarity with wholesale auction platforms, motor vehicle commission rules, knowledge of commercial heavy truck regulations (e.g., IFTA, DOT exemptions), or heavy equipment lien laws (UCC filings) is a plus.
• A high level of detail and organization is necessary along with the ability to multi-task and worked in a fast paced environment is required.
• A good computer proficiency is required. (Microsoft Products)
• Strong customer service and communication skills are required.
• Bachelor’s degree in Business Administration, Legal Studies, Finance, or a related field; equivalent seasoned industry experience will be considered.
• The ability to work a hybrid work schedule. (3-4 days in the Carmel, IN Corporate office)
