Qualifications

• Ability to navigate systems efficiently, input data accurately, generate reports, and troubleshoot basic issues.
• Demonstrated capability coordinating across multiple stakeholders, departments, and time zones.
• Strong organizational skills with ability to manage multiple concurrent tasks and priorities.
• Excellent written and verbal communication skills.
• Attention to detail and commitment to accuracy in data entry and documentation.
• Ability to maintain confidentiality and handle sensitive information professionally.
• Ability to work independently and as part of a collaborative team.
• Proficiency in Microsoft Office: Outlook, Teams, Excel, Word.

Responsibilities

• Coordinate complex, multi-stage interview loops across multiple departments and manage last-minute adjustments.
• Coordinate executive-level interview panels requiring high discretion and rapid scheduling changes.
• Manage candidate travel logistics, accommodations, and expense reimbursement workflows.
• Use the ATS to build a single source of truth, ensure data hygiene, pipeline tracking, and stage transitions.
• Audit ATS data regularly to ensure accurate external and internal representations.
• Build and utilize pipeline progress reports to highlight bottlenecks to recruiters.
• Maintain professional, timely communication with candidates, hiring managers, and recruiters; provide status updates and next steps.
• Develop and maintain candidate preparation materials.
• Facilitate headcount approvals, draft and stage offers, manage acceptance/decline workflows.
• Initiate background checks and relocation requests; identify inefficiencies and propose solutions.
• Support recruiting process documentation and best practices; assist on team projects.
