Job summary

Motion Recruitment is assisting a major school furnishings distributor in Bay Shore, NY to find a Project Coordinator who will join the Operations team onsite.

You will coordinate projects with customers, project managers, and installers, manage milestones, track deliveries, and prepare reports to keep jobs on time and on budget.

Ideal candidates have 3–5+ years of experience, strong time management, and familiarity with Salesforce CRM; reading architectural drawings is a plus.

Qualifications

• 3–5+ years of relevant experience in project coordination.
• Experience managing multiple projects with varying deadlines.
• Industry knowledge or experience in education facilities preferred.
• Strong collaboration and time management skills.
• Familiarity with Salesforce CRM is a plus.
• Ability to read architectural drawings is a plus.

Responsibilities

• Project coordination/management with customers, project managers, and installers.
• Able to multi-task and manage escalations daily, outside of planned daily responsibilities.
• Project/order set-up with milestone tracking for timely and on budget completion.
• Prepare work orders for installation team and confirm scope and delivery dates.
• Review and process factory acknowledgments and installer invoices to accounting.
• Coordinate the factory submittal process and field check through production release.
• Monitor job sites.
• Schedule, coordinate and track all product deliveries with manufacturer and dedicated freight carriers.
• Prepare weekly reports to include job progress and backlog.
• Attend project meetings.
