Job summary

IVIRMA Global is seeking an Operations Coordinator to support on-site and network-wide facilities operations in Basking Ridge, NJ. You will act as the main contact for the Business Operations team and coordinate vendors, access control, and maintenance across North America.

The role requires at least 5 years of relevant experience and an Associates degree (preferred). The position offers full-time on-site work and a comprehensive benefits package.

Qualifications

• Associates Degree preferred but work experience acceptable.
• Minimum 5 years’ relevant work experience.
• Technical Skills: Basic computer skills; word, excel and email.

Responsibilities

• Maintain administrative files for vendors, contacts, site records and related documentation.
• Serve as onsite Headquarters contact for the Business Operations team and provide in-person support.
• Coordinate deliveries, receiving and onsite logistics with vendors.
• Answer and route internal tickets and operational emails promptly.
• Manage access control, alarm systems and security procedures.
• Oversee and coordinate maintenance requests across North American locations.
• Assist with renovation, facilities and office maintenance projects as directed.
• Maintain and administer telephone and communication systems.
• Maintain master key system with tracking and access controls.
• Respond to emergencies and facility incidents to ensure safety.
• Promote open, timely, two-way internal communication.
