Job summary

UVA Health is seeking an Oncology Enhanced Scheduler to coordinate complex oncology scheduling across infusion, provider visits, imaging, labs, and supportive care. You will work with physicians, nurses, pharmacists, and multidisciplinary teams to align appointments with clinical protocols and be a central scheduling resource for patient-centered care.

The role requires advanced knowledge of scheduling workflows, treatment sequencing, Epic functionality, and a focus on maximizing infusion

Qualifications

• High school diploma or equivalent required.
• 2+ years of experience in J2235 Patient Access O2.
• CHAA or CRCR certification within 18 months of hire.
• Proficiency with Epic and scheduling tools is expected.

Responsibilities

• Coordinate and schedule complex oncology treatment plans across infusion, visits, imaging, labs, and supportive care.
• Review Epic Beacon Treatment Plans to ensure alignment with protocols and sequencing.
• Coordinate multidisciplinary appointments to optimize access and utilization.
• Initiate scheduling with patients and caregivers to align with clinical requirements and preferences.
• Act as liaison between patients, providers, nursing, pharmacy, financial services, authorization teams, and ancillary departments.
• Independently manage scheduling work queues, referrals, authorizations, cancellations, and rescheduling.
• Maintain accurate patient demographics and appointment data in the EMR.
• Utilize Epic InBasket and related tools to support scheduling operations.
• Investigate and resolve scheduling conflicts with multidisciplinary teams.
• Identify workflow inefficiencies and contribute to standardized scheduling practices.
• Communicate potential operational issues proactively to leadership.
• Deliver compassionate, patient-centered service while protecting privacy and complying with HIPAA.
• Support equitable access by providing accurate information and coordinating resources.
• Maintain scheduling accuracy and productivity per departmental standards.
