Job summary

UVA Health System in Charlottesville, VA, seeks an Oncology Enhanced Scheduler to coordinate complex oncology scheduling across infusion, imaging, and provider visits, aligning plans with clinical protocols and resource availability.

You will work with physicians, nurses, pharmacists, and care teams to maximize infusion capacity, improve patient access, and ensure a seamless scheduling experience throughout cancer care. The role requires advanced scheduling knowledge and Epic proficiency.

Qualifications

• High School Diploma or equivalent required.
• 2+ years of experience in J2235 Patient Access O2.
• Certification: CHAA or CRCR within 18 months of hire.

Responsibilities

• Coordinate and schedule complex oncology treatment plans across infusion therapy, provider appointments, labs, imaging, injections, blood products and supportive care.
• Review and interpret Epic Beacon Treatment Plans to ensure appointments follow clinical protocols and sequencing.
• Coordinate multidisciplinary appointments to optimize patient access and resource utilization.
• Initiate scheduling with patients and caregivers to identify preferences and coordinate appointments.
• Serve as liaison between patients, providers, nursing, pharmacy, financial services, authorization teams and other departments to resolve barriers.
• Advocate for patients by coordinating support services and escalating scheduling issues as needed.
• Independently manage scheduling requests, queues, referrals, authorizations, cancellations, and rescheduling within service standards.
• Maintain accurate demographic, insurance, referral, and appointment information in the EMR.
• Utilize Epic tools (InBasket, scheduling queues, telephone encounters) to support operations.
• Investigate and resolve scheduling conflicts with multidisciplinary teams within guidelines.
• Identify workflow inefficiencies and contribute to standardized scheduling practices.
• Proactively communicate potential operational issues to leadership and clinical partners.
