Job summary

Allied Universal is seeking an Onboarding Specialist in South Portland, ME to coordinate New Employee Orientation (NEO) and drive the security professional onboarding process. The role requires strong administrative skills, experience with ATS platforms like iCIMS, and the ability to manage documentation, scheduling, and data entry.

You will proctor NEO sessions, verify Form I-9s, administer drug tests, and ensure accurate data in iCIMS, WinTeam, and DOMO.

Qualifications

• High School diploma or equivalent required.
• Professional administrative experience in a busy environment.
• Proficiency with Microsoft Office applications.
• Ability to multi-task and remain calm under pressure.
• Experience with iCIMS, WinTeam, and DOMO is preferred.
• College degree in business or HR is a plus.

Responsibilities

• Prepare for New Employee Orientation daily with necessary tools.
• Proctor NEO; review welcome kit, verify Form I-9, administer drug tests.
• Initiate onboarding documents via ATS (iCIMS).
• Complete employer section of Form I-9.
• Update iCIMS and WinTeam with required fields and codes.
• Ensure orientation is completed by new hires (3 lessons and final exam).
• Enter rehires into WinTeam and update employee information.
• Manage applicants in post-offer onboarding for assigned areas.
• Schedule Onboarding and New Employee Orientation after background checks.
• Contact candidates to confirm orientation dates and send confirmations.
