Job summary

UC Irvine is seeking an Onboarding Representative to provide comprehensive onboarding support to prospective and newly hired employees. You will manage pre-employment activities, coordinate background checks, Live Scan, and I-9 processing while ensuring compliance and timely start dates.

You will maintain clear communication with candidates, recruiters and campus partners, monitor progress, and help identify improvements to onboarding processes and candidate experience.

Qualifications

• Bachelor's degree in a related field or equivalent experience.
• Knowledge of recruitment, screening, interviewing and referral processes.
• Familiarity with HR processes and forms and organizational procedures.
• Experience with HR software and systems.
• Basic knowledge of employment law.
• Excellent communication and interpersonal skills.
• Strong analytical and problem‑solving abilities.
• Ability to work with multiple business units to resolve staffing issues.

Responsibilities

• Coordinate onboarding activities and ensure compliance in pre-employment steps.
• Verify employment eligibility, conduct background checks and Live Scan as required.
• Process I-9 documentation and ensure accuracy of onboarding data.
• Review and verify accuracy of onboarding information and timelines.
• Communicate clearly with candidates, recruiters and departments; maintain confidentiality.
• Identify and resolve onboarding issues; support process improvements.
