Job summary

LA ViE MD, a physician-led medical spa with multiple locations, seeks a Patient Care Coordinator for its Los Gatos office. The role blends client experience, consultative sales, operations, marketing, and business development to convert leads, schedule visits, promote memberships, and drive patient growth.

Responsibilities include delivering an exceptional patient experience, building client relationships, coordinating appointments, and managing inventory and events.

Qualifications

• 2+ years in Sales or client service roles, ideally in aesthetics, hospitality, luxury retail, wellness or similar.
• Interest in aesthetics or wellness industry and skincare.
• Clear, positive communication in writing and speaking with patients, vendors and teammates.
• Team-minded, collaborative and ready to support colleagues to put patients first.
• Strong relationship-building to create a warm, welcoming environment.
• Bring ideas to solve problems with a positive, proactive mindset.
• Highly organized and able to multi-task in a fast-paced setting.
• On-time attendance and dependability for scheduled hours.

Responsibilities

• Drive practice growth by converting leads to booked consultations and treatment packages.
• Provide a warm, polished patient experience from check-in to check-out.
• Build relationships with clients and maintain proactive outreach post-visit.
• Coordinate patient appointments and manage scheduling to align with treatment plans.
• Assist with inventory and administrative tasks to keep the office stocked and efficient.
• Cultivate marketing partnerships and community outreach to raise brand visibility and new patient opportunities.
• Assist in coordinating events, webinars, and brand activations to support growth.
• Maintain a clean, organized front desk and smooth clinic operations.
