Job summary

Recology is seeking a Maintenance Shop Coordinator to oversee vehicle and equipment procurement, record-keeping, and invoicing at our South Seattle Operations Yard. This on-site role starts at 7am or 8am and requires coordinating with vendors and internal teams to ensure timely acquisitions and compliance.

The candidate will maintain fleet data in the management system, prepare purchase orders, and monitor capital requisitions and changes.

Qualifications

• Minimum 4 years of customer service and clerical work experience.
• Experience with fleet-related data and records preferred.
• Proficient with Microsoft Office and fleet management systems.

Responsibilities

• Review requisitions for capital budget compliance.
• Coordinate routing, approvals, and communications for capital change orders.
• Maintain fleet records in the asset management system.
• Prepare purchase orders and assign business unit codes.
• Review invoices for accuracy and payment.
• Act as primary vendor contact for purchasing activities.
• Reconcile requisitions to POs and generate status reports.
• Resolve data errors and escalate issues to management.
• Coordinate asset disposal documentation as needed.
• Communicate with vendors to ensure equipment orders meet requirements.
• Perform other duties as assigned.
