Job summary

Ondas Sentinel Technologies in Portland, OR is seeking a full‑time Proposal Coordinator to support federal proposal development and operations. You will work onsite with the program team, SMEs, and BD stakeholders, coordinating schedules, inputs, and deliverables across multiple concurrent efforts.

You will manage proposal calendars, ensure compliance, and assist with formatting, editing, and production of proposal documents.

Qualifications

• 2–5 years of federal proposal coordination or related support experience.
• Strong written communication, proofreading and quality-check skills.
• Ability to manage multiple assignees and deadlines in a fast-paced environment.
• Experience with compliant solicitation and tender response development.

Responsibilities

• On-site coordination with program team and SMEs to support proposals.
• Serve as liaison between Capture/Proposal and Business Development teams.
• Assist kickoff, meetings, note-taking, agendas, and action items.
• Maintain proposal calendars, milestone schedules, and trackers.
• Track assignments, deadlines, and inputs; follow up to maintain progress
• Organize proposal files and ensure secure handling of sensitive information
• Manage proposal workload visibility, priorities, and resources
• Support formatting, editing, and production of proposal documents
• Prepare and maintain compliance matrices and submission checklists
• Ensure timely final submission and document validation
• Assist with graphics, timelines, and production constraints as needed
• Collaborate with teams and partners to resolve compliance concerns
