Key Responsibilities
- Customer Service & Reception: Serve as the face of the department by greeting visitors with a friendly, approachable attitude, answering incoming calls, resolving inquiries, and providing assistance to the public.
- Payment Processing: Process customer payments accurately according to established protocols and perform daily payment reconciliations.
- Mail & Delivery Handling: Open, sort, and distribute incoming daily mail and package deliveries efficiently.
- Records & Resource Management: Maintain accurate, up-to-date records of departmental cell phone lines, usage, and associated costs.
- Front Desk & Access Control: Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges as needed).
- Email Management & Inbox Triage: Review and manage central inbox daily. Categorize, prioritize, and route incoming correspondence to the appropriate team.
- Monitor the Accounts Receivable aging schedule, prioritizing accounts that are past due.
- General Support: Perform other clerical support duties as assigned.
Qualifications
Minimum or "day-one" qualifications
- Prior customer service experience.
- Prior data entry experience.
- Prior payment processing experience.
Preferred or trainable/on-the-job qualifications
- Is detail oriented
- At least 1 year of experience working in a professional office environment.
- Strong verbal and written communication skills.
- The ability to manage their own time.
- Works independently with little or no supervision.
- Exceptional communication and interpersonal skills.
- Extensive experience in quality assurance with sensitive and confidential information.
- Showcases proficiency in computer programs.
- Hands-on experience with office equipment.
- Professional attitude and appearance.
- The ability to be resourceful and proactive when issues arise.
- The ability to work with different groups of people.
- Excellent organizational skills.
- Has a customer service attitude.
- Multitasking abilities.
