Responsibilities

  • Serve as a welcoming first point of contact for visitors and incoming communications.
  • Manage mail, packages, shipments, office supplies, kitchen supplies, and vendor relationships.
  • Monitor invoices and office-related expenditures.
  • Maintain office documents, records, and shared resources.
  • Coordinate with property management, building engineers, and vendors on maintenance, access, housekeeping, and facility needs.
  • Monitor the office environment and troubleshoot issues.
  • Support employee engagement initiatives.
  • Coordinate team meetings, workshops, lunches, happy hours, outings, celebrations, industry functions, and special events.
  • Manage venues, catering, vendors, invitations, RSVPs, room setup, and event logistics.
  • Support meeting technology and conference room equipment.
  • Coordinate employee onboarding and offboarding with HR and IT.
  • Prepare equipment, system access, business cards, supplies, orientations, and introductions for new hires.
  • Support equipment returns and administrative access changes during offboarding.
  • Schedule meetings, performance reviews, and other activities.
  • Prepare correspondence, documents, and presentations.
  • Support marketing proposals and corporate initiatives.
  • Conduct research and assist with special projects.
  • Work with regional offices to facilitate communication and consistent administrative support.
  • Help employees navigate corporate-services tasks.
  • Keep leadership informed of potential issues or concerns.
