  • Assist with data entry and updating alumni contact information in the database.
  • Prepare and assemble event materials, such as programs, brochures, and thank-you gifts.
  • Manage and organize event supplies and inventory.
  • Assisting in hosting alumni and guests in the Foutch Alumni House.
  • Perform general office duties, including answering phones, responding to emails, and filing documents.
  • Collaborate with the alumni office team to develop and implement creative ideas for engaging alumni and current students.

Primary Duties and Responsibilities
Job Summary

The Office of Alumni Engagement is seeking a motivated and organized part-time student worker to assist with various tasks and events. This position is ideal for students who are enthusiastic about event planning, detail-oriented, and looking to gain experience in a professional office setting. The student worker will support the alumni office team in organizing and executing events, ranging from almost-alumni events for graduating seniors to alumni reunions and other special occasions. This role will also support daily operations of the Alumni Engagement team.

Key Responsibilities
  • Event Preparation and Support:
    • Assist in the planning and execution of alumni events, including almost-alumni events, reunions, and other special programs.
    • Prepare materials for events such as nametags, guest lists, and event signage.
    • Provide on-site support during events, including greeting guests, assisting with registration, and ensuring smooth event operations.
    • Assist in preparing and packing needed materials prior to an event and reorganizing post event
  • Administrative Tasks:
    • Assist with data entry and updating alumni contact information in the database.
    • Prepare and assemble event materials, such as programs, brochures, and thank-you gifts.
    • Manage and organize event supplies and inventory.
    • Assisting in hosting alumni and guests in the Foutch Alumni House.
    • Perform general office duties, including answering phones, responding to emails, and filing documents.
  • Communication and Outreach:
    • Collaborate with the alumni office team to develop and implement creative ideas for engaging alumni and current students.

This position will report to the Foutch Alumni House with occasional opportunities for remote work. Ability to lift up to 50 pounds and climb stairs. The Foutch Alumni House does not have elevator access to the second floor.

Required Qualifications
  • Strong organizational skills and attention to detail.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable using email and social media platforms.
Required Education
  • Must be enrolled as a student at Belmont University.
Required Experience
  • Previous event-related or office experience preferred but not required.
