Job summary

AppleOne Employment Services is recruiting for a growing and dynamic non-profit to hire a Bilingual Spanish Office Manager to oversee day-to-day operations, front desk coverage, and administrative workflows, ensuring respectful service to clients and staff.

The role requires strong organization, ability to read and write in Spanish, and experience in records, billing, and office coordination, plus a California driver’s license and reliable vehicle.

Qualifications

  • Minimum 1 year experience as Office Manager/Administrative Manager/Operations Manager or similar in an office setting.
  • Bilingual Spanish (read, speak and write).
  • Minimum 2 years office administration clerical/records experience including records, billing, reception, mail, records maintenance, office supplies, etc.

Responsibilities

  • Oversee day-to-day office operations and ensure smooth workflow for all staff.
  • Ensure front desk is staffed and fill in if necessary.
  • Manage office supplies, equipment, and inventory.
  • Prepare workspaces for onboarding and departures with necessary supplies.
  • Coordinate maintenance and repairs of office facilities.
  • Implement and maintain office policies and procedures.
  • Schedule conference rooms and therapy rooms, staff moves, computer relocation; coordinate with departments to address space needs and updates.
  • Order, track, and distribute supplies; ensure proper stocking.
  • Assist with coordination and schedule modifications for Coach on Duty and Afterhours on call.
  • Provide flexible administrative support and complete additional tasks to support department operations.
  • Serve as point of contact between departments, vendors, and visitors.
  • Handle correspondence, emails, and phone communications.
  • Maintain knowledge of all department programs and resources to support reception staff.

A plus is someone has worked in the following areas: Non-Profit, Healthcare Medical, Community Programs, Family Programs, Youth Programs, Housing Programs, Mental Health Programs, In Home Services, Substance Abuse Programs, Homeless Programs, Residential Care and Group Homes, Individual and Family Services, Vocational Rehabilitation Services, Outpatient Care Centers, Homeless Services and Shelters, Community Action & Advocacy, Public Health and Preventive Services

Requirements
  • Minimum 1 year experience working as an Office Manager/Administrative Manager/Operations Manager or similar title in an office setting
  • Bilingual Spanish (read, speak and wrote)
  • Minimum 2 years office administration clerical/records experience including duties such as records, billing, reception services, mail services, records maintenance, office supply ordering, etc.
  • Valid California driver's license; current automobile insurance; have and maintain a clean driving record acceptable to the organization's insurance company; have immediate access to his or her vehicle during work hours.
  • Must have excellent organizational skills, and effective communication skills.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Job Duties

  • Responsible for ordering, tracking, and distributing supplies
  • Ensure that office supplies are properly stocked
  • Assist with coordination and schedule modifications for the Coach on Duty and the Afterhours on call schedule.
  • Provides flexible administrative support and completes additional tasks to support department operations (ie. client surveys, coordinating UA pick-up for SUD, etc.)
  • Serve as a point of contact between departments, vendors, and visitors
  • Handle correspondence, emails, and phone communications
  • Maintains comprehensive knowledge of all department programs and resources to support reception staff in addressing the needs of callers, visitors, and clients
