Job Description

The role is responsible for organizing and coordinating office operations, procedures, and resources to enhance organizational effectiveness and efficiency. Provides daily operational, technical, and problem-solving leadership on administrative matters including patient flow, office operations, customer service, health insurance, billing/coding, and EMR functionality and utilization. Supervises the administrative and clinical staff and practice operations, including scheduling, workflow, service delivery, and employee performance.

  • Models efficient unit operation by scheduling and assigning work, resolving processing problems, monitoring progress, and managing workload or filling in as needed.
  • Develops and maintains office and departmental budgets and KPIs (Key Performance Indicators).
  • Uses resources effectively to meet work group goals within budgets, recommending expenditures, monitoring progress, and reallocating resources as needed.
  • Implements and monitors departmental goals and objectives.
  • Analyzes needs and develops recommendations aligned with the organization's strategic direction.
  • Ensures all staff communicate courteously and professionally with patients.
  • Holds staff accountable for customer service standards and addresses incidents appropriately.
  • Implements performance expectations and conducts employee reviews.
  • Participates in hiring, onboarding, and ongoing staff training, following office and clinical policies.
Qualifications
  • Bachelor's Degree and/or relevant certification preferred.
  • Minimum of 3 years’ experience in a medical/surgical practice required.
  • Previous management or supervisory experience preferred.
  • Epic experience preferred.
  • Strong communication skills and leadership experience required.
  • Ability to identify opportunities for quality and productivity improvements.
  • Knowledge of age-specific patient care needs (e.g., Pediatrics, Adolescents, Geriatrics) preferred.
