Job Description

The Office Manager is responsible for organizing and coordinating office operations, procedures, and resources to enhance organizational effectiveness and efficiency. This role involves providing operational, technical, and problem-solving leadership on administrative matters such as patient flow, office operations, customer service, health insurance, billing/coding, and EMR systems. The Office Manager supervises administrative and clinical staff, overseeing scheduling, workflow, service delivery, and employee performance.

  • Models efficient unit operation by scheduling, assigning work, resolving processing issues, monitoring progress, and managing workload.
  • Develops and maintains office and departmental budgets and KPIs.
  • Uses resources effectively to meet work group goals within budgets, recommending expenditures and reallocating resources as needed.
  • Implements and monitors departmental goals and objectives.
  • Analyzes needs and develops strategic recommendations.
  • Ensures staff communicate courteously and professionally with patients.
  • Holds staff accountable for customer service standards and addresses incidents appropriately.
  • Implements performance expectations and conducts employee reviews.
  • Participates in hiring, onboarding, and ongoing staff training.
Qualifications
  • Bachelor's Degree and/or relevant certification preferred.
  • Minimum 3 years of experience in a medical/surgical practice.
  • Leadership or supervisory experience preferred.
  • Epic EMR experience preferred.
  • Strong communication skills and leadership experience required.
  • Ability to identify opportunities for quality and productivity improvements.
  • Knowledge of age-specific patient needs (pediatrics, adolescents, geriatrics) preferred.
