Job summary

LeoForce is seeking an experienced Office Manager for a permanent, full-time role in Whitestown, Indiana.

You will oversee all office operations, implement CRM systems, monitor staff performance, manage vendors and donors, and coordinate onboarding with HR to maintain efficient, compliant processes.

The ideal candidate has 5+ years in office management in nonprofit settings, a Bachelor's degree, strong leadership and communication skills, and proficiency in Microsoft Office and CRM software.

Qualifications

  • Bachelor’s degree in Business Administration, Healthcare Administration, or related field.
  • Minimum of 5 years of experience in an office management role, preferably nonprofit.
  • Experience in operations management, CRM, and performance management.
  • Strong leadership and communication skills.
  • Proficiency in Microsoft Office Suite and CRM software.

Responsibilities

  • Overseeing and coordinating all office operations and procedures, ensuring the smooth and efficient functioning of the office.
  • Implementing and managing CRM systems to improve customer service and business relationships.
  • Monitoring and analyzing the performance of the office staff, identifying areas of improvement, and implementing necessary changes.
  • Developing and implementing office policies and procedures to improve operational efficiency.
  • Managing relationships with vendors, service providers, and donors, ensuring that all items are invoiced and paid on time.
  • Planning and coordinating administrative procedures and systems, and devising ways to streamline processes.
  • Managing contract and price negotiations with office vendors and service providers
  • Coordinating with HR department to ensure smooth new hire onboarding process.
  • Ensuring office efficiency by maintaining an organized workspace, managing internal and external correspondence, and handling routine clerical tasks.
  • Organizing office events and meetings, ensuring all necessary materials are prepared in advance.

  8. Knowledge of office administrator responsibilities, systems, and procedures.
  9. Familiarity with processing donations.
  10. Ability to work under pressure and meet tight deadlines.
