Job summary

DesignForce is seeking an Office Manager to join our energized, collaborative team. As the right-hand person to the Managing Principal, you will handle executive administration, calendar coordination, travel, and office operations to keep the firm running smoothly.

The successful candidate will demonstrate excellent time-management, strong organizational skills, professional communication with clients and colleagues, and the ability to pivot quickly as priorities change.

Qualifications

  • Bachelor’s degree or equivalent professional experience in Business Administration or related field.
  • Exemplary communication skills, both written and verbal.
  • Self-motivated with a strong commitment to task completion.
  • Ability to pivot quickly and adapt to change in a fast-paced, high-energy environment.

Responsibilities

  • Provide executive administrative support to the Managing Principal, including calendar management, meeting coordination, and travel arrangements.
  • Oversee day-to-day office and facilities operations, greet visitors, manage supplies, and maintain a welcoming workspace.
  • Facilitate internal communications, keeping staff informed about operational updates, deadlines, and firm initiatives.
  • Oversee firm-wide expense reporting and ensure receipts and documentation comply with policies.
  • Support team engagement and culture initiatives and assist with planning events.
  • Assist leadership with operational initiatives and ad hoc projects from planning through completion.
  • Troubleshoot technology issues to ensure smooth hardware/software performance.

Would you like to work in an energized and collaborative work environment? Join our dynamic team as an Office Manager and become an essential pillar to our firm's success! As the right-hand person to our Managing Principal, you will play a pivotal role in ensuring smooth and efficient administration and operational coordination. In this multi-faceted position, you will primarily support our Managing Principal, while also providing assistance to other leaders and executives as necessary. Someone who will be successful in this role will need excellent time-management, strong organizational skills, be comfortable utilizing polished, professional communication skills with our clients, team members, and industry professionals. In addition, they are accustomed to quickly pivoting as needs change, overseeing and running multiple responsibilities concurrently, proactively creating and maintaining efficient processes, and addressing issues that may arise with the team in a timely fashion.

Core Responsibilities Include:
  • Provide executive administrative support to the Managing Principal, including calendar management, meeting coordination, and domestic and international travel arrangements.
  • Provide day-to-day office and facilities support, including greeting visitors, maintaining a clean and welcoming office environment, managing office supplies and orders, coordinating routine facilities needs, and ensuring the office is well-organized and operational.
  • Facilitate internal operations communications, ensuring staff are informed and kept up to date on important operational updates, policies, deadlines, and firm-wide initiatives.
  • Oversee firm-wide expense reporting, ensuring timely submission of expense reports, collection of required receipts and documentation, and adherence to company policies.
  • Support team engagement and culture initiatives, assisting with the planning, coordination, and execution of team bonding events and programming.
  • Support leadership with the execution of operational initiatives and ad hoc projects, coordinating details, tracking action items, and helping drive priorities forward from planning through completion.
  • Troubleshoot technology issues, as needed, to ensure all hardware/software systems run smoothly.
Preferred Qualifications Include:
  • Bachelor’s degree or equivalent professional experience in a field relevant to Business Administration.
  • Display exemplary communication capabilities, effectively communicating verbally and through writing.
  • Be self-motivated and display a commitment to task completion.
  • Be able to pivot quickly and adapt to change in a fast-paced, high-energy environment.
