Job Description

The School Office Manager provides a professional environment that supports the school and provides administrative assistance for the school administrator(s). This position is pivotal in facilitating the school's educational purposes and the efficient daily operations of the school office. Under general supervision of school site administrator(s), the School Office Manager serves as manager of school office support for the school. The employee organizes, directs and performs varied and complex clerical and secretarial work with confidentiality and sensitivity. In performing duties, responsibilities and tasks, the individual utilizes independent judgment, initiative, tact, patience and courtesy.

The ideal candidate has experience in a school office environment and with administrative assistant duties. The ideal candidate performs well in a busy environment and with frequent interruptions. The ideal candidate has strong critical thinking, excellent project management and problem solving skills, and excels at time management, organizational and prioritization skills. The ideal candidate has an upbeat and collaborative approach, and the ability to work well with staff, students, and families.

This position requires a commitment to fostering a supportive learning environment for all students. The successful candidate will demonstrate a dedication to ensuring all students have the opportunity to succeed, recognizing and addressing barriers to academic achievement.

Essential Duties And Responsibilities
  • Manages the front office of the school and ensures the smooth operation of each school day.
  • Creates a welcoming environment for students, staff and the public.
  • Monitors assigned building budgets and provides regular updates to the building principal or department head regarding account balances, spending trends, and potential concerns.
  • Responds to telephone and in-person inquiries from students, parents, and the public.
  • Types a variety of forms, memoranda, and correspondence; types materials for teachers and other staff as requested. Duplicates and distributes materials.
  • Types accident reports, forwards accident report information to district office in a timely manner.
  • Maintains inventory records; periodically inventories supplies and materials.
  • Maintains student attendance records; posts daily attendance; enters data on computer.
  • Monitor substitute requirements and assure coverage as needed.
  • Ensure licensees and classified staff have the supplies needed to accomplish their jobs and purchase supplies as necessary.
  • Updates documents such as the staff lists, and staff emergency contact information.
  • Processes confidential information.
  • Coordinates and directs other clerical staff as assigned.
  • Performs a variety of related duties as assigned by school administration.
  • Provides follow-up support to district staff.
  • Complies with applicable District, state, local and federal laws, rules, regulations.
  • Follows and maintains knowledge of applicable District policies and procedures.
  • Interacts thoughtfully and courteously with students, staff, administrators, and parents/guardians and resolves conflict in a professional manner.
  • Communicates clearly with coworkers and other staff.
  • Dress professionally for the position.
  • Attends work daily as assigned and is punctual.
  • Additional duties may be assigned as the needs of the District are determined.
Qualifications
  • High school diploma or equivalent.
  • Three years bookkeeping experience. Two years office experience.
  • Bilingual proficiency in Spanish and English highly preferred.
  • Computer literacy. Proficiency with Microsoft office programs: Word, Excel, Google docs, Publisher.
  • Knowledge of modern office methods, practices, and procedures; business English, spelling, and math calculations.
  • Ability to multitask and remain flexible in a fast paced environment.
  • Must have excellent customer service skills. Strong interpersonal and communication skills.
  • Knowledge/experience with Quicken.
  • Knowledge/experience with standard accounting procedures.
  • Excellent computational skills.
  • Cooperative and congenial; able to work independently.
  • Physical demands needed: ability to communicate with students, co-workers, and the public; ability to communicate over the telephone; ability to respond to telephone, bells, students, co-workers, etc.; ability to respond to classroom disturbances, visual cues, student requests, etc.; ability to operate office equipment; ability to carry or lift light loads (25 lbs).
