Job Description:
Responsibilities
- Lead, coach, and develop a high-performing administrative team—hiring, training, and inspiring staff to reach their full potential.
- Design, implement, and continuously refine office policies, systems, and procedures to drive efficiency and scalability.
- Handle sensitive information with the utmost integrity, professionalism, and discretion.
- Run weekly team meetings to monitor workflow, forecast staffing needs, and align on priorities.
- Partner with the Director of Administration on monthly labor accruals and cost reallocations to ensure financial accuracy.
- Oversee the preparation and review of month-end reports, metrics, and reconciliations.
- Record and review monthly bank reconciliations in QuickBooks and monitor cash flow with precision—preparing weekly cash assessments for ownership review.
- Support accounts payable and receivable functions, jumping in where needed to keep deadlines on track.
- Assist with monthly invoicing to clients when required, ensuring accuracy and timeliness.
Must Haves
- Proficiency in Microsoft Excel, Outlook, and Word, with the ability to learn new systems quickly.
- Hands-on experience with QuickBooks.
- Proven success working in a fast-paced, dynamic environment.
- Strong organizational skills and the ability to juggle competing priorities without dropping details.
- Prior administrative experience in accounts payable, receivable, and payroll (preferred but not required).
- A proactive mindset—someone who doesn’t just manage tasks but drives improvement.
