Position Summary
The Office Manager is responsible for providing management support to different INAir departments including, but not limited to, purchasing, sales, and accounting. The Office Manager will ensure efficient operations throughout the company by managing daily office operations, supporting staff, and performing administrative tasks.
Essential Duties and Responsibilities:
- Serve as the first point of contact for customers, responding to emails, phone calls, and RFQs
- Work with inside sales in the generation and delivery of quotes
- Manage the follow-up and approval of aged quotes
- Follow through on purchase order negotiations or corrections with customers
- Review customer Terms and Conditions
- Process complete and accurate Sales Orders and RMAs
- Coordinate with clients for invoicing and processing payments
- Responsible for accounts receivable duties and follow up on overdue payments
- Balance and reconcile assigned accounts
- Post information to journals, registers, and ledgers
- Place holds, assess discounts and late fees, and process cancellations
- Analyze and record transactions for write-off; assemble and compile data used in the generation of financial reports and/or analysis
- Communicate established company policies and procedures to staff, suppliers and customers, including those that require extensive interpretation
- Assist in preparation of monthly financial reports, financial statements, and other internal reporting metrics
- Support bookkeeping activities, including entering and reconciling accounts payable/receivable, vendor invoicing, and customer billing
- Coordinate scheduling, meetings, and communications between departments and clients
- Assist with HR functions such as timekeeping, onboarding, and employee documentation
- Assist purchasing with pulling parts for orders
- Assist purchasing by gathering components and assembling kits for technicians
- Ability to work in a safe professional manner adhering to all regulatory requirements including OSHA, EPA, State and Federal Regulations
- As the Company’s success relies on the productivity of our team and adherence to customer product schedules, an essential function of this position is the ability to arrive to work on-time, and work each day, as scheduled
- Perform other duties as assigned
Education and Experience
- Bachelor’s degree in relevant field or equivalent experience. Degree in Accounting preferred
- 5 years of experience in Accounting required
- Previous management or supervisory experience preferred
- Proficient in MS Office required
- Excellent written and verbal communication skills with the ability to communicate effectively withboth internal and external customers
- Ability to multi-task with effective results; excellent time-management and organizational skills
