Job description

Our client is seeking an Office Manager to take ownership of the daily operations of a busy corporate office in Houston. This is a highly visible role for someone who is organized, proactive, polished, and comfortable being the person everyone turns to when something needs to get done. The Office Manager will oversee the overall workplace experience -- from facilities and vendors to office administration, employee support, and internal events -- while also providing occasional administrative support to members of senior leadership.

Responsibilities:
  • Take ownership of the daily operation and organization of the corporate office, ensuring the workplace runs smoothly and professionally.
  • Manage office vendors, building relationships, maintenance requests, supplies, equipment, security, and other facility needs.
  • Identify opportunities to improve office processes, organization, efficiency, and overall employee experience.
  • Oversee office-related purchasing and expenses, review invoices, and assist with budget tracking and planning.
  • Coordinate workplace logistics including conference rooms, visitors, deliveries, workspace assignments, and office moves.
  • Lead and support the Receptionist, ensuring employees, guests, and clients receive a consistently professional experience.
  • Serve as a resource for employees and help troubleshoot day-to-day office needs as they arise.
  • Coordinate internal meetings, employee events, recognition initiatives, and other activities that contribute to a positive company culture.
  • Partner with HR to prepare workspaces and coordinate office logistics for new hires.
  • Maintain relationships with outside service providers and evaluate pricing, service quality, and contract terms when needed.
  • Maintain organized office records, vendor information, contracts, and administrative documentation.
  • Provide administrative support to select members of the executive leadership team, including assistance with communications, special projects, and other needs as they arise.
  • Handle confidential company and leadership information with professionalism and discretion.
Qualifications:

We're looking for someone who can see what needs to happen and make it happen. The right person will be comfortable balancing larger operational responsibilities with the smaller details that keep an office functioning at a high level.

  • 5+ years of office management, corporate administration, or senior-level administrative experience.
  • Experience independently managing the needs of a corporate or professional office.
  • Previous experience leading or supervising administrative staff.
  • Strong vendor and facilities management experience.
  • Experience managing office expenses and working within an operating budget.
  • Exposure to executive-level administrative support.
  • Strong communication and interpersonal skills with the ability to work effectively across all levels of an organization.
  • Excellent judgment, discretion, follow-through, and attention to detail.
  • The ability to prioritize competing needs and quickly pivot when something unexpected comes up.
  • Associate's or Bachelor's degree preferred; relevant experience will also be considered.
