POSITION SUMMARY
Sentinel Midstream LLC is seeking a highly organized, proactive professional to lead the day-to-day operations of its Houston corporate office while providing executive administrative support to Houston based executive(s). This position serves as a central point of coordination for employees, visitors, vendors, and business partners and helps ensure the office operates efficiently, professionally, and securely.
The successful candidate will balance office-management responsibilities with executive support, front-office coverage, event and meeting coordination, vendor management, and confidential administrative work. The role requires sound judgment, strong follow-through, and the ability to anticipate needs while managing competing priorities.
CORE RESPONSIBILITIES
Office Management & Workplace Operations
- Coordinate daily Houston office operations and maintain a professional, organized, and welcoming workplace.
- Oversee office opening and closing readiness, including conference rooms, lobby and lounge areas, the cafe, supply rooms, and shared equipment.
- Manage office supplies, cafe inventory, ordering, shipments, mail, couriers, and package distribution; resolve vendor, service, or billing issues as needed.
- Coordinate with building management and service providers regarding access badges, parking, cleaning, maintenance, repairs, and other facility needs.
- Support office moves, floor planning, new-office setup, employee arrivals, and workspace readiness.
- Request quotes, track office-related purchases and expenses, maintain records, and support budget monitoring and invoice reconciliation.
- Support the management of smaller remote offices that do not have on-site support
Executive Administrative Support
- Coordinate travel arrangements and prepare clear itineraries, meeting logistics, and related materials.
- Prepare, organize, and proofread presentations, correspondence, reports, agendas, and other business documents.
- Process expense reports, organize receipts and supporting documentation, and follow up on outstanding items.
- Track commitments, action items, and follow-ups arising from meetings or executive requests.
- Serve as a professional liaison with internal teams, customers, contractors, vendors, and other external contacts.
- Handle sensitive information with discretion and provide support on special projects as assigned.
Reception & Administrative Support
- Greet employees, visitors, contractors, delivery personnel, and maintenance providers; issue visitor badges and direct guests appropriately.
- Answer and route calls to the main office line and monitor shared voicemail and email for time-sensitive needs.
- Schedule meetings, prepare conference rooms, assist with virtual meeting technology, and coordinate room presentations and materials.
- Maintain office directories, distribution lists, records, files, nameplates, and other workplace information.
- Provide document preparation, scanning, copying, filing, shipping, and general administrative assistance across departments.
REQUIRED QUALIFICATIONS
- Associate degree, technical school credential, or college coursework.
- Three or more years of progressively responsible experience in office administration, office management, executive support, or a related role.
- Strong proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams, with the ability to learn additional business systems.
- Excellent written and verbal communication skills and the ability to work effectively with employees and external contacts at all levels.
- Demonstrated discretion, professionalism, and sound judgment when handling confidential information.
- Strong organization, prioritization, problem-solving, and follow-through, with the ability to manage multiple responsibilities independently.
- Service-oriented, approachable, and comfortable working both independently and collaboratively in a small-team environment.
PREFERRED QUALIFICATIONS
- Bachelor's degree.
- Experience supporting a senior leader and coordinating office operations, facilities, vendors, or workplace services.
- Administrative experience in the energy or midstream industry.
WORK ENVIRONMENT & SCHEDULE
- Full-time, on-site position in the Houston corporate office.
- The role requires regular front-office presence and the ability to handle routine office supplies, packages, and workplace setup activities.
