We are a rapidly expanding network of 37 primary care practices serving communities across the Triangle (Raleigh-Durham-Chapel Hill), Charlotte, and Wilmington.

We are seeking a dependable and dedicated candidate with proven leadership skills to join our team as an Office Manager. This is a full-time position, Monday through Friday, with occasional after-hours availability needed.

Selected Responsibilities:
  1. Comprehensive oversight of clinic operations, ensuring the satisfaction of patients, staff, and providers
  2. Supervises all staff daily to ensure proper procedures are followed
  3. Interviews, trains, counsels, coaches, disciplines, and terminates employees as necessary
  4. Creates schedules and staff rotations
  5. Coordinates coverage for all employees during callouts and emergency situations
  6. Oversees vacation requests and ensures continuous shift coverage
  7. Reviews and authorizes payroll to ensure accuracy and timely processing
  8. Oversees accounts payable, reviews payroll reports, and assists in the preparation and review of financial statements
  9. Conducts annual performance reviews and monthly check-ins with staff
  10. Leads staff meetings to share updates and communicate company-wide initiatives
  11. Advises the practice owner on all non-routine operational matters, including significant progress or potential issues
  12. Addresses patient complaints promptly with tact and compassion, escalating when necessary
  13. Handles employee complaints in a timely and appropriate manner, escalating when needed
  14. Ensures HIPAA and OSHA compliance at all times
  15. Interacts with vendors, suppliers, and service providers as needed
  16. Orders and maintains inventory of medical, office, and vaccine supplies
  17. Oversees practice maintenance, including repairs, equipment servicing, and contract management for preventative maintenance
  18. Performs weekly bank deposits
  19. Ensures proper front-end collections, including deductibles, co-pays, co-insurance, and outstanding patient balances

Ideally, candidates will have a relevant degree, at least 3 years of experience in medical office supervision, and preferably hold certifications such as Emergency Medical Technician (EMT–Basic), Licensed Practical Nurse (LPN), graduate of a Medical Assisting Program (MA), or Certified Medical Assistant (CMA).

  • Experience with ClinicalWorks (eCW) or Epic is preferred
