We’re looking for a highly organized, detail-oriented, and proactive Office Manager to support the daily operations of our facility in Denver. In this cross-functional role, you'll work closely with the Head of Operations and General Manager to keep things running smoothly—from scheduling and vendor coordination to compliance, employee support, and special projects. The ideal candidate enjoys variety in their day-to-day, is a strong communicator, and loves being the go-to person for getting things done. Your day-to-day will include:
Operations & General Administration (40%)
- Serve as the central point of contact for property-related needs, including snow removal, parking, recycling, and janitorial services.
- Schedule and coordinate building repairs and maintenance, including managing vendor communications and service appointments.
- Manage executive calendars (General Manager and Head of Operations), scheduling appointments, walkthroughs, and meetings.
- Open, route, and process incoming mail (e.g., invoices to Finance, state filings to appropriate parties).
- Coordinate and track purchase orders for general building and office supply needs.
- Organize internal events and team meetings as needed.
- Process vendor bills directly or coordinate with finance contacts as directed.
- Support OSHA compliance updates and training tracking.
- Maintain documentation of building insurance and workers' comp policies, coordinate renewals, and support claims processes.
- Assist with water treatment reporting, testing supply orders, and deadline tracking for the Metro Water Zero Discharge Permit.
- Keep calendars current with maintenance, testing, and compliance deadlines for the GM and Head of Operations.
People Operations & HR Support (40%)
- Greet and onboard new hires on Day 1, including I-9 verification and welcome orientation.
- Maintain HR documentation, including employment law postings, time-off records, and review schedules.
- Handle first-level employee questions and direct more complex matters to the Head of Operations.
- Track timecard submissions, approve corrections weekly, and ensure PTO is accurately recorded.
- Add all time-off and leave dates to leadership calendars to ensure full visibility.
- Schedule mid-year and year-end employee reviews, maintain review documents, and ensure timely follow-up.
- Maintain employee files and assist in the upkeep of compliance documentation.
- Additional HR and Payroll Support as needed.
Financial & Vendor Coordination (10%)
- Review and process incoming vendor invoices for accuracy and alignment with POs.
- Manage outgoing invoicing by collecting documentation and working with finance to ensure billing is accurate and timely.
- Serve as the administrative point of contact for key vendor contracts and scheduled maintenance (e.g., Miura, Johnson Controls, Chem Treat, Culligan).
- Track vendor performance and ensure records of all recurring services are organized and up to date.
To thrive as an Office Manager at Paramount Pressing, you’ll bring a mix of skills, flexibility, and a passion for quality. Here's what we’re looking for:
- 3–5 years of experience in an Office Manager or Operations Coordinator role (manufacturing or production environment preferred).
- Experience using Gusto, QuickBooks, and Google Workspace tools (or similar platforms).
- Familiarity with bookkeeping, vendor invoicing, and service contract tracking.
- Experience with HR policies, onboarding/offboarding, payroll processing, and compliance documentation.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- A people-first mindset—you're approachable, proactive, and communicative.
- Comfort working in a production setting and collaborating with both administrative and floor teams.
Shift and Schedule:
- This position can be part-time or full-time, we are willing to work with your availability and flexibility as we grow!
- This role is required to be in-person
- Exact schedule is flexible and can be discussed during the hiring process
- The plant generally operates on an 8:00 am to 4:00 pm, Monday thru Friday schedule
- Must have reliable transportation and ability to commute to the facility to meet your scheduled shifts consistently
