Job summary

Tidewater Property Management is seeking an Office Coordinator to keep the front office organized, welcoming, and efficient. You will be the go-to resource for homeowners, tenants, and vendors, handling registrations, payments, mail, and general administrative tasks in a fast-paced, in-office environment.

The role requires 2+ years of related experience, proficiency with Microsoft Office, excellent communication, and strong organizational skills to maintain a professional office and deliver

Qualifications

  • High school diploma or equivalent required.
  • At least two years of experience in office coordination, reception, customer service, or administrative support.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook, with the ability to learn new software systems.
  • Excellent verbal, written, and interpersonal communication skills.
  • Strong customer service skills and the ability to interact professionally with homeowners, tenants, vendors, visitors, employees, and management.
  • Experience coordinating office supply purchasing, vendors, equipment service, meetings, trainings, or company events.
  • Strong organization, attention to detail, follow-through, and time-management skills.
  • Ability to identify office needs proactively, resolve routine issues, and improve administrative processes.
  • Ability to prioritize and manage multiple tasks in a fast-paced environment with frequent interruptions and shifting priorities.
  • Ability to work independently with initiative and minimal supervision while collaborating effectively as part of a team.
  • Sound judgment, professionalism, discretion, and the ability to maintain accurate records and confidential information.

Responsibilities

  • Serve as the first point of contact for homeowners, tenants, vendors, and visitors entering the office.
  • Provide exceptional support for walk-in clients, tenants, and vendors with questions and service needs.
  • Process pending registrations and research and respond to Contact Us submissions in the management software.
  • Accept payments and provide receipts as needed.
  • Respond promptly and professionally to client interactions.
  • Support the phone queue during periods of increased workload by screening and directing calls, taking messages, and documenting information accurately.
  • Assist with the info mailbox by responding to or forwarding emails as appropriate.
  • Coordinate daily front office operations and help maintain an organized, professional, and welcoming office environment.
  • Open, date-stamp, sort, and distribute daily mail; receive and route packages to the appropriate department.
  • Manage routine FedEx needs, including ordering supplies, maintaining inventory, and providing envelopes and labels as requested.
