Job summary

Bizcap US in Miami, FL is seeking an Office Coordinator to support HR and people operations while maintaining day-to-day office functions. This full-time, on-site role is integral to the People & Culture team.

You will handle onboarding and offboarding, employee records, benefits administration, compliance tracking, interview scheduling, and recruiting support, while coordinating culture events and serving as a point of contact for visitors.

Qualifications

  • Strong organizational and time-management abilities in a fast-paced environment.
  • Proficiency with HRIS systems, Microsoft Office, and general office technologies.
  • Knowledge of HR processes, employment compliance, and benefits administration (or willingness to learn quickly).
  • Excellent written and verbal communication skills for interaction with employees, leadership, and external vendors.
  • Detail-oriented with strong data entry accuracy and record-keeping skills.
  • Ability to maintain confidentiality and handle sensitive employee information professionally.
  • Comfortable working on-site in a collaborative environment and adaptable to multiple team leads.

Responsibilities

  • Process new hire documentation including I-9 verification, background check coordination, and paperwork management.
  • Maintain accurate employee files and manage HRIS data entry for new hires, terminations, and personnel updates.
  • Schedule and coordinate interviews, onboarding sessions, and offboarding logistics.
  • Administer benefits programs, process enrollment requests, and respond to routine employee benefits questions.
  • Track compliance requirements, training completion records, and policy acknowledgments across the organization.
  • Support recruiting efforts by posting job requirements, scheduling interviews, and managing candidate logistics.
  • Coordinate internal culture events and team activities.
  • Provide administrative support including scheduling meetings, preparing documents, and managing office supplies and equipment.
  • Serve as a professional point of contact for visitors, callers, and external stakeholders.

Role Description

The Office Coordinator is a full-time, on-site role based in Miami, FL, responsible for supporting human resources and people operations while maintaining smooth daily office operations. This role is integral to the People & Culture team, handling new hire onboarding and offboarding logistics, employee records management, benefits administration, and compliance tracking. The Office Coordinator serves as a key point of contact for HR processes, visitor scheduling, and office logistics, maintaining a well-organized, efficient, and professional work environment. This position works closely with the Senior People & Culture Lead and People Operations, taking direction based on specific task requirements and helping ensure both operational excellence and employee success.

Key Responsibilities

  • Comfortable working on-site in a collaborative environment and adaptable to working with multiple team leads

Job Type: Full-time

Pay: $50,000–$60,000 per year
