Job description

Functional Overview: The Office Assistant is a key position at our warehouse and production facility in Mount Pleasant, WI. This position is responsible for performing office administrative work, coordinating office activities, assembling product samples for our customers, maintaining the sample room, assisting the Plant Manager as needed, and ensuring smooth internal processes as related to job responsibilities.

Major Job Responsibilities, Functions, and Duties:

80% of the time - Office Administration

  • Answer phones and or greet visitors to the plant as needed
  • Organize events on request from Plant Manager with adequate attention to detail
  • Check inventory and maintain office supplies as needed
  • Check inventory and maintain production supplies as needed
  • Check inventory and maintain kitchen supplies as needed
  • Source possible new vendors for supplies with the goal of achieving cost savings while maintaining existing quality
  • Scheduling computer time for floor workers when trainings are assigned
  • Scheduling on site visits from vendors
  • Schedule safety drills
  • Miscellaneous admin work as assigned by Plant Manager

20% of the time - Samples for Customers

  • Assemble samples per defined specifications
  • Create, generate, assemble, and receive all sample work orders using WMS
  • Maintain sample inventory using PAR levels defined within the WMS
  • Collaborate with QA team to ensure samples meet defined quality standards
  • Adhere to all GMPs related to documentation, traceability, quality checks and cleanliness

General Job Requirements:

  • Associate's Degree or 3 years of relative work experience
  • Proficient using Microsoft Word and Excel
  • Effective attention to detail and displays a high degree of accuracy in work with the ability to monitor own work for quality and thoroughness
  • Adept at problem-solving, including identifying issues and finding solutions with minimal direction
  • Punctual and solid work ethic
  • Excellent written, oral, and interpersonal communication skills
  • Ability to work independently and as part of a team with minimal direction
  • Project management experience (preferred)
  • Purchasing experience (preferred)
  • Experience interacting with internal multifunctional teams and external customers
  • Displays a positive, team player attitude and ability to collaborate well with others

Physical Job Requirements:

  • Able to work in the warehouse location of the company, located in Mount Pleasant, WI
  • Able to adjust or move objects up to 25 pounds
  • Able to work in warehouse with potentially noisy and hazardous conditions
