Job Description

ECAD’s Office Administrator is an energetic, amicable, and highly organized individual who provides key support to the Director of Development & Communications, and professional staff. This individual will work independently as well as in various teams. She or he is a professional in her or his own right, and will be the first face and voice of ECAD that many donors and prospective donors will encounter.

Essential Duties and Responsibilities
  • Maintain a neat and orderly office and storage area.
  • Process donations, send out acknowledgments and donor journeys.
  • Type correspondence: emails, faxes, memos, and letters as requested.
  • Maintain general office equipment such as postage meter, fax machines, copier, and computers.
  • Manage employee Time and Attendance, payroll, and onboarding of new hires.
  • Assist with large mailings and shipments of materials, coordinating volunteers as needed.
  • Assist accounting with coordination of AMA reports and receipts.
  • Maintain office supplies, filing, and email accounts.
  • Manage, organize, and update relevant data using database applications.
  • Assist in coordination, attend, and represent the organization at various events.
  • Manage eCommerce online products, inventory, and purchases.
  • Manage various projects and activities as requested.
Qualification Requirements
  • Combined four years of full-time work experience and/or higher education.
  • Demonstrated written and oral communication skills.
  • Ability to work independently and as part of a team.
  • Minimum two years of clerical or administrative experience.
  • Typing skills of at least 50 WPM.
  • Familiarity with Microsoft Office (Word, Access, Excel, PowerPoint).
  • Knowledge of general office machines and telephone systems.
  • Sensitivity to the needs of persons with disabilities.
  • High discretion when dealing with confidential information.
Education and/or Experience

At least 2 years working for a nonprofit or a total of four years of full-time work experience and/or higher education.

Language Skills
  • Ability to effectively present information to management in prescribed formats.
  • Ability to respond in writing and prepare reports for management or other key persons.
Physical Demands

The physical demands are typical of office work. Reasonable accommodations can be made for individuals with disabilities. The employee must regularly sit, use hands, talk, and hear; occasionally stand, walk, reach, and lift/move up to 40 pounds. Vision requirements include distance, peripheral, and focus adjustment.
