Job summary

Aquent is seeking an organized, customer-focused Office Manager for our Boston site. This part-time role covers 25 hours per week, 11am–4pm, Monday through Friday, and will own daily office operations, manage supplies, IT/facilities tickets, and coordinate site events.

You’ll partner with IT, HR, and Facilities to ensure a welcoming and productive work environment. Ideal candidates have 2–5+ years in office operations, strong communication, and proven vendor management.

Qualifications

  • 2–5+ years in office management, workplace operations, or similar role.
  • Proven track record delivering excellent employee-facing service.
  • Strong organization and time management, able to handle multiple tasks.
  • Excellent written and verbal communication, relationship building.
  • Experience managing vendors, coordinating events, and day-to-day facilities.
  • Proficiency with Google Workspace.

Responsibilities

  • Own day-to-day office operations and maintain a clean, safe environment.
  • Manage office, kitchen, and facilities supplies and inventory.
  • Act as primary contact for facilities and IT issues; coordinate tickets.
  • Coordinate with building management and vendors for services.
  • Handle mail and deliveries; distribute packages to teams.
  • Support cross-functional teams to ensure seamless operations.
  • Plan, budget, and execute site events and programs.
  • Assist with on-site meals, snacks, and beverages services.
  • Decorate for holidays and support company-wide engagement.
  • Gather employee feedback and relay information to staff.
  • Maintain internal docs and communications platforms.
  • Manage office budget and assist leadership with ad-hoc requests.
  • Assist with new hire onboarding and local office orientation.
  • Support space planning and headcount projections with leadership.
  • Provide support for meetings and broadcasts; ensure logistics and tech run smoothly.

What You'll Do
  • Own the day-to-day operations of the office, conducting regular walkthroughs to ensure a clean, safe, and organized environment.
  • Manage all office, kitchen, and facilities supplies by monitoring stock levels, overseeing inventory, and handling all ordering and restocking.
  • Act as the primary point of contact for facilities and IT issues, submitting and monitoring tickets to ensure timely resolution.
  • Coordinate with building management and external vendors for repairs, maintenance, cleaning, and other on-site services.
  • Handle all mail and deliveries, including receiving and distributing packages to the appropriate teams or individuals.
  • Partner with cross-functional teams (IT, HR, Facilities, etc.) to provide on-the-ground support and ensure seamless office operations.
  • Plan, budget, and execute a variety of site-specific events, including holiday parties, social gatherings, team-building activities, and other company events.
  • Support and coordinate on-site programs, including daily meals, snacks, and beverage services.
  • Help create a lively and inclusive work culture by decorating for holidays and supporting company-wide engagement initiatives.
  • Serve as a key resource for employees, gathering feedback and relaying important information about the office to staff.
  • Manage and update internal documentation and communication platforms to keep information current and accessible.
  • Manage the office budget, track expenses, and support leadership with ad-hoc administrative requests.
  • Facilitate new hire onboarding and orientation for the local office.
  • Partner with leadership and the facilities team to assist with space planning and future headcount needs.
  • Provide support for key meetings and broadcasts, ensuring technology and logistics run smoothly.
Must-Have Qualifications
  • 2-5+ years of experience in office management, workplace operations, or a similar role, ideally within a high-growth tech environment.
  • A proven track record of delivering excellent employee-facing service with strong attention to detail, even in high-demand situations.
  • Strong organizational and time management skills, with the ability to manage multiple tasks, handle shifting priorities, and work independently.
  • Excellent written and verbal communication skills and the ability to build strong relationships with internal partners, leadership, and external vendors.
  • Experience managing vendors, coordinating events, and overseeing day-to-day facilities operations with a proactive, solution-oriented approach.
  • Proficiency with Google Workspace.
