Job summary

Aquent Talent is seeking an organized administrative professional to support a large on-site team in Mountain View. You will help manage calendars, coordinate travel, plan meetings, and assist with procurement and day-to-day operations.

You'll support leadership across multiple offices, adapt to changing priorities, and contribute to a productive, collaborative workspace. A Bachelor's degree and MS Office proficiency are required, with 0–2 years of experience ideal.

Qualifications

  • Bachelor's degree required or equivalent.
  • 0–2 years of administrative support experience is ideal.
  • Proficiency with Microsoft Office tools (Outlook, PowerPoint, Excel).
  • Basic experience with procurement or ordering processes.

Responsibilities

  • Manage complex schedules and calendars for an individual manager and provide secondary support for a broader group.
  • Coordinate domestic and international travel arrangements, ensuring smooth logistics.
  • Plan and execute meetings and events, from small team gatherings to larger departmental functions.
  • Assist with department financial operations, including procurement and expense tracking.
  • Support personnel operations and facility management, contributing to a well-organized work environment.
  • Undertake special projects as assigned, demonstrating flexibility and initiative.
  • Provide event support, ensuring successful execution and attendee satisfaction.
  • Handle a variety of day-to-day administrative tasks and ad-hoc requests to support a large on-site team.

What You'll Bring
  • A completed Bachelor's degree.
  • Prior administrative support experience in a professional environment, with 0-2 years being an ideal range.
  • Proficiency with Microsoft Office tools, including Outlook, PowerPoint, and Excel.
  • Basic experience with procurement or ordering processes.
  • A self-starter mindset with the ability to proactively identify and address needs.
