Overview

The Office Administrator is responsible for data entry, billing, invoicing, and account statement duties, including maintaining ledgers, credit balances, and resolving account irregularities. This role involves interacting diplomatically with customers to provide billing information and support, facilitating swift invoice payments. The Office Administrator also supports Project Managers with billing and administrative tasks.

Shermco Industries is seeking an Office Administrator.

Responsibilities
  • Manage Accounts Receivable (AR) activities.
  • Create customer invoices, including merging intercompany invoices.
  • Assist with AR collections.
  • Create jobs on the Salesforce (SF) platform for closed-won opportunities.
  • Set up jobs in progress.
  • Coordinate with Project Managers to set up and maintain planning lines, ensuring accuracy.
  • Review customer purchase orders against estimates and planning lines.
  • Attend project review meetings.
  • Move time requests between jobs.
  • Review and approve payroll and expenses in ELO.
  • Order and stock office supplies.
  • Perform reception duties.
  • Organize employee and customer appreciation events.
  • Handle bank deposits and journal entries.
  • Assist with month-end duties.
  • Backup office administration tasks, including POs, AP, invoice vouchers, and billing.
Qualifications

Candidates with a combination of education and experience will be considered. Preferably, candidates will have several years of experience in billing, accounts payable, or receivable roles within service or manufacturing industries. A thorough understanding of general accounting practices and knowledge of provincial and federal sales taxes (RST/PST/GST) are required. Experience with ERP systems like Business Central or Navision is an asset, along with proficiency in Microsoft Office applications.

Other Requirements
  • Pass pre-employment drug testing and periodic random drug tests.
  • Pass criminal background checks.
  • All offers conditioned on background check and drug screening results.
  • Fluent in reading, writing, and speaking English.
  • Willing to travel as needed.
  • Proficient in keyboard and mouse use.
  • Ability to view detailed information on a computer screen for extended periods.

Pay Range

USD $50,000.00 - USD $65,000.00 per year.
