Job summary

Brightstar is seeking an Office Administrator to ensure efficient day-to-day operations, support multiple departments, and manage essential business processes. The role acts as the primary contact for employees, vendors, customers, and visitors, with a strong emphasis on organization, communication, and problem-solving.

The ideal candidate has 3+ years in administration or office management, an Associate's degree (Bachelor's preferred), and proficiency in Microsoft Office.

Qualifications

  • Associate's degree preferred; Bachelor's degree is a plus.
  • 3+ years of administrative, office management, or related experience.
  • Experience supporting multiple departments or leaders preferred.
  • Excellent organizational and time-management skills.
  • Strong verbal and written communication abilities.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams).
  • Ability to manage multiple priorities and meet deadlines.

Responsibilities

  • Manage daily office operations and administrative activities.
  • Maintain office records, files, and documentation in accordance with company standards.
  • Order and manage office supplies, equipment, and vendor services.
  • Coordinating facility maintenance and workplace readiness.
  • Support budget tracking, invoice processing, and expense reporting.
  • Prepare reports, presentations, correspondence, and other business documents.
  • Assist with onboarding activities and administrative support for new employees.
  • Serve as the primary contact for office-related inquiries and facility needs.
  • Coordinate company events, meetings, and employee engagement activities.
  • Ensure confidentiality of sensitive business and employee information.
  • Essential point person for facility security, visitor logging and access control.
  • Coordinating facility maintenance, vendor services, and workplace readiness.
  • Oversees shipping, receiving and coordination of incoming and outgoing deliveries.
  • Maintains sole ownership of tracking, monitoring and administering liquidated damage activity.
  • Coordinate calendars, meetings, travel arrangements, and conference room scheduling.

Overview

The Office Administrator is responsible for ensuring the efficient day-to-day operation of the office by providing administrative support, coordinating office activities, and managing essential business processes. Success Profile

At Brightstar, we consider a wide range of factors in determining compensation, including background, skills, experience, and work location. These factors can cause your compensation to vary. The estimated starting compensation range is $47,258 - $68,619. The actual pay offered may end up being higher or lower. The Company will comply with all local pay requirements and collective bargaining agreements, where applicable.

Base pay is only one part of our Total Rewards program. Sales roles may be eligible for commission payments, while other roles are eligible for discretionary bonuses.
