American Retirement Income Solutions is seeking a dynamic Office Administrator to join our dedicated team. In this role, you will be integral in supporting our sales team, ensuring smooth office operations, and delivering outstanding service to our valued clients.

Position Overview:

As the Office Administrator, you will facilitate sales processing and provide essential client services for our energetic team. This client-facing role requires strong communication skills, proficiency in common office software, and a positive attitude toward client interactions and daily operations.

Key Responsibilities:

  • Enter and manage client information in our CRM system, ensuring accuracy and organization.
  • Initiate and handle phone calls to existing and prospective clients to schedule and confirm sales and service appointments.
  • Conduct product research on insurance offerings and manage targeted mailing lists.
  • Track and manage pending business transactions from initial sale through to policy issuance.
  • Perform errands such as post office visits and office supply management.
  • Create CRM-generated reports to facilitate client outreach (e.g., birthday cards, thank-you notes, annual review reminders).
  • Provide support for live events, occasionally requiring availability during evenings and weekends.
  • Handle other administrative duties as assigned.

Skills & Qualifications:

  • Proficiency in Microsoft Word and Excel, including document creation and spreadsheet manipulation.
  • Comfortable managing inbound and outbound calls professionally.
  • Excellent organizational skills and attention to detail.
  • Outstanding interpersonal and client-facing abilities.

Certifications to be Acquired:

  • Texas Life/Health Insurance License
  • Potential to advance into a Full-time Advisor role.
  • Opportunity to grow into an Office Supervisor position.
