  • Proficiency with Google Workspace for scheduling and calendar management; familiar with facility ticketing systems.
  • High initiative and self-direction—identify operational needs and inventory issues proactively.
  • Ability to lift 15–20 lbs as part of daily inventory.

Responsibilities

  • Serve as the primary point of contact at the Bethesda reception desk, greeting visitors and handling inquiries.
  • Coordinate and manage incoming food deliveries and catering for multiple locations.
  • Receive, sort, and distribute mail and packages to appropriate departments.
  • Monitor and restock office inventory across common areas (snacks, beverages, supplies).
  • Maintain neat, functional, and clean common spaces throughout the day.
  • Assist team with administrative tasks and maintain organized record-keeping systems.
  • Provide calendar support by scheduling meetings for team members and external parties.
  • Coordinate with building management on service tickets for maintenance, repairs, and access control.

Compensation: $20.00 - $23.00 / hour

Description

Summary: As an Office Administrator, you will help keep our workplace running smoothly by serving as the face of our Bethesda office, managing day-to-day operations, and supporting our team across locations. This is a full-time, non-exempt position eligible for a competitive benefits package. We are looking for someone with strong communication skills, a proactive mindset, and a reliable approach to creating an organized, efficient environment.

Key Responsibilities

Responsibilities:

  • Serve as the primary point of contact at the Bethesda reception desk, providing a welcoming environment at the lobby; greet visitors, direct guests, and manage general inquiries.
  • Coordinate, order, manage, set up incoming food deliveries and catering for multiple locations.
  • Receive, sort, and distribute all incoming mail and packages to the appropriate departments.
  • Monitor and restock office inventory regularly across common areas, including copy room supplies, snacks, and beverages.
  • Maintain neat, functional, and clean common spaces throughout the day.
  • Assist team members with administrative tasks, maintain organized record-keeping systems, and provide friendly operational support.
  • Provide administrative calendar support by scheduling and coordinating meetings for team members and external parties.
  • Serve as the primary contact with building management by submitting, tracking, and following up on service tickets for all office-related maintenance, repairs, keycard access, and facility inquiries.
Skills, Knowledge and Expertise

Qualifications:

  • 1-3 years in office administration is preferred.
  • Exceptional verbal and written communication skills with a personable attitude.
  • Exceptional time-management skills with the ability to prioritize competing tasks.
  • Proficiency with Google Workspace for scheduling and calendar management and familiarity with facility ticketing systems.
  • High degree of initiative and self-direction—comfortable identifying operational needs, facility issues, or inventory shortages before they are pointed out.
  • Ability to comfortably lift 15–20 lbs as part of daily inventory.
