Job summary

The Minnesota Department of Commerce is seeking an Office & Admin Specialist Intermediate to support the Weights & Measures Division in Burnsville. You will handle public inquiries, manage phones, and process mail and payments, enabling smooth front-office operations and timely responses to regulated businesses.

Primary duties include coordinating the Placing in Service program and assisting leadership and inspectors.

Qualifications

  • Customer service skills to provide courteous, effective service to clients.
  • Explain transaction procedures and regulations clearly.
  • Word processing to produce formatted documents and templates.

The Weights & Measures Division is responsible for ensuring the accuracy of commercial weighing and measuring devices throughout Minnesota, monitoring fuel quality, and providing precision measurement services to businesses across the state. The primary work location for the position is at the Weights & Measures Division Office in Burnsville, Minnesota.

This position serves as the primary administrative coordination point for the division and provides direct support to the Division Director, management team, inspectors, and the public. The individual in this role is responsible for managing the Division's front office operations and ensuring efficient communication between the public, regulated businesses, and Division staff.

Primary Duties Include
  • Receiving and routing public inquiries and complaints,
  • Managing the Division's main phone lines and shared email accounts,
  • Processing incoming mail and payments,
  • Coordinating administrative aspects of the Placing in Service program, and
  • Providing administrative support to Division leadership and field staff.

The position also assists with maintaining records and tracking program information across multiple internal systems. In addition, the position participates in and supports the Division's safety program.

Minimum Qualifications
  • Customer Service skills (phone, in person, written, and electronic correspondence) sufficient to provide courteous effective service to clients/customers.
  • Explain the reasons for transactions and procedures, rules, and regulations so that others understand the information they are being given.
  • Word processing sufficient to use software to create, format, edit, print, and save a variety of documents, including letters, reports and templates.
  • Data Entry skills sufficient to add, maintain, and retrieve information from databases. i.e. Microsoft Excel, Access, and other platforms.
  • Apply accurate spelling and grammar in written and electronic communication.
Preferred Qualifications
  • Experience coordinating administrative support for regulatory, inspection, or compliance program.
  • Experience working with and/or using program tracking or other regulatory databases to monitor requests, complaints, or program activity.
  • Experience managing shared phone lines or email inboxes used for public inquiries.
  • Strong organizational skills and the ability to manage multiple tasks while maintaining accuracy and attention to detail.
Physical Requirements

Requires occasional moving of articles such as boxes, accounting records, laptop computer, and portable printer.
