The Department of Natural Resources seeks to fill one permanent, year-round Full-Time Office and Administrative Specialist Intermediate position at Carlos Avery Game Farm Office. Workdays are Monday-Friday, 8:00am-4:30pm.

This role provides administrative, fiscal, customer service, and clerical support within the Carlos Avery and Cambridge Offices, assisting the public and other agencies regarding wildlife programs and activities.

Job Summary

The Department of Natural Resources is seeking to fill one (1) permanent, year-round Full-Time Office and Administrative Specialist Intermediate position at Carlos Avery Game Farm Office. Workdays are Monday-Friday and work hours are 8:00am-4:30pm.

This position performs administrative, fiscal, customer service, and clerical support within the Carlos Avery Co-Located office and Cambridge Co-Located offices. The incumbent will provide assistance to the general public and other government agencies regarding programs and activities within the Wildlife Management Area and local offices.

Responsibilities include;

  • Perform office management and administrative support functions so that internal and external customer needs are met and communication, information flow, materials, operations, programs, and projects are coordinated and carried out effectively, efficiently, timely and responsibly in accordance with State and DNR policies and procedures.
  • Support budget management, the purchasing process and fleet/asset management so that financial obligations are met timely and in compliance with State, Federal, and DNR policies and procedures.
  • Gathers, verifies, and summarizes data for fiscal and administrative reports.
  • Process and archive reports in accordance with State and Federal retention guidelines.
  • Maintain thorough knowledge of data-entry and result retrieval with department and division programs.
  • Manage and administer the Carlos Avery and Cambridge Offices' Direct Cost Plan budgets.

This position has a flexible work arrangement andmay be eligible to teleworkon a part-time basis which is subject to change.If approved, the employee would be required to complete a telework agreement. This position will require reporting to the primary work location on a regular basis.

Minimum Qualifications
  • Ability to perform administrative support work for a work unit’s expense and budget administration.
  • Communication skills sufficient to communicate effectively with internal and external customers.
  • Ability to prepare, edit, and finalize emails, memos, reports, and/or other documents and types of written communication
    that are grammatically correct, in proper format, and free of spelling errors.
  • Ability to accurately input, verify, and edit electronic data.
  • Knowledge of standard computer software programs for word processing, spreadsheets, and databases sufficient to create, modify, and protect files.
  • Skill in developing and implementing administrative and program policies, procedures, and service standards in cooperation with management.
  • Typing/keyboarding skills sufficient to perform skilled typing tasks with speed and accuracy.
Preferred Qualifications
  • One or more years of clerical office experience providing a variety of office services for staff.
  • Knowledge and efficiency in Microsoft Excel, Word, and Access software to compile, manipulate, store, and retrieve data.
  • Knowledge of accounting functions to maintain budgets, pay invoices and track expenses.
  • Experience retrieving, archiving, and converting documents and electronic materials of different formats.
  • Business English, spelling and grammar sufficient to proofread materials and to ensure the accuracy and completeness of written materials.
Additional Requirements

This position requires an unrestricted Class D Driver’s license with a clear driving record; per DNR Fleet Policy, only those 18 years of age or older with a valid driver’s license may operate equipment and vehicles on behalf of the Agency.
