Responsibilities

• Establish freight costs and prepare quotes for inland, ocean, and air services.
• Coordinate with exporters, suppliers, agents, and consignees via email and phone.
• Book cargo with shipping lines, airlines, trucking companies, and consolidators.
• Issue and manage documentation including Bills of Lading and AES filings.
• Monitor shipment status and provide updates to exporters and customers.
• Maintain data in internal systems and generate accurate billing.

Job description

Accurate Personnel is hiring immediately for an Ocean Export Coordinator to join our team in Glendale Heights, Illinois. This individual will be responsible for ensuring customer satisfaction by managing the accurate, timely movement of export ocean and air freight shipments. The ideal candidate will possess strong communication, attention to detail, and the ability to coordinate with carriers, customers, warehouses, and global partners.

Pay, Schedule, and Location

• Starting at $60,000/year
• Excellent benefits package, including medical, dental, and vision
• Full time hours
• Located in Glendale Heights, Illinois

Duties and Responsibilities

• Establish freight costs and prepare customer quotes for inland, ocean, and air services
• Communicate with U.S. exporters, suppliers, foreign agents, and consignees via email and phone
• Book cargo with shipping lines, airlines, trucking companies, and consolidators
• Coordinate verbally and in writing with appointed carriers to ensure timely movement
• Issue and manage documentation including Dock Receipts and Bills of Lading
• File selling rates with the FMC
• Prepare and file AES (Export Declaration).Issue MB/L and HB/L instructions accurately and on time
• Provide exporters, customers, and agents with ongoing shipment status updates
• Utilize Excel, Outlook, and other Office Suite tools to support daily operations
• Track, trace, and update shipment status daily
• Enter data accurately and promptly into internal systems
• Maintain effective communication with customers, vendors, internal offices, and coworkers through high volume email and phone interaction
• Monitor operational reports and take action as needed
• Complete accurate and timely billing to customers
• Build and maintain strong relationships with shipping lines, airlines, trucking companies, and other vendors
• Meet departmental and company KPIs related to service, accuracy, and timeliness
• Demonstrate a desire to understand process flow and identify opportunities for efficiency improvements
• Report workflow progress and issues to management regularly.Attend mandatory training sessions as required

Requirements and Qualifications

• Minimum of 2-3 years international export experience in Air or Ocean
• Cargowise experience is an asset; DGR certification is an asset
• Experience in ocean and/or air export operations within freight forwarding or logistics
• Strong understanding of export documentation, regulatory requirements, and transportation processes.
• Proficiency in Microsoft Office Suite, especially Excel and Outlook
• Excellent communication skills, both written and verbal.High attention to detail, accuracy, and organizational skills
• Ability to manage multiple tasks in a fast paced environment
• Customer focused mindset with strong problem solving abilities
• Ability to build and maintain positive relationships withcarriers, vendors, and customers
