Job summary

OnBoard Logistics is seeking an Ocean Export Coordinator to plan, execute, and optimize the export of shipments from the Chicago area. You will manage daily air export operations, validate carrier rates, schedule cargo appointments, and coordinate with warehouses, customers, and overseas offices to maintain service levels.

Responsibilities include handling Bills of Lading, HBLs, and export documentation, while monitoring KPIs and driving cost-saving improvements.

Qualifications

  • 3+ years of related experience or equivalent.

Responsibilities

  • Manage daily Air Export operations.
  • Verify freight rates applied by carriers against service contracts or agreed pricing and submit freight payment requests when applicable.
  • Schedule cargo appointments with plants and/or customers based on product availability and coordinate services with warehouses and trucking companies.
  • Take ownership of customer issues and facilitate timely and effective resolution to ensure customer satisfaction.
  • Manage the request, review, and correction of Bills of Lading (BL) with carriers and distribute final documents to customers.
  • Prepare and validate House Bills of Lading (HBL) according to customer-specific requirements and templates.
  • Manage the release process for special shipments and/or shipments requiring HBL documentation.
  • Process all export documentation in accordance with carrier, customs, and customer requirements while meeting established deadlines and standards.
  • Understand the financial impact of operations and their effect on company revenue.
  • Communicate shipment status, additional charges, and operational issues to customers, sales teams, and overseas offices.
  • Send destination pre-alerts and ensure timely sharing of shipment documentation.
  • Review and monitor shipment status daily, ensuring all service and performance standards are met.
  • Submit weekly HBL shipment reports and matrices to ocean carriers when required.
  • Maintain knowledge of KPIs, procedures, and operational objectives, ensuring compliance with established standards.
  • Identify and drive continuous improvement initiatives to increase efficiency and reduce costs.
  • Maintain daily communication with vendors, carriers, and service providers.
  • Communicate with customers and overseas agents to address inquiries and provide shipment updates.
  • Properly close shipments in CargoWise and ensure data accuracy and integrity.
  • Issue invoices and validate costs to ensure accurate job profitability and financial management.
  • Monitor agreed service levels, identify root causes when targets are not achieved, and provide recommendations to management regarding service failures and operational trends.
  • Perform other related duties as assigned by management.

Summary
